POSITION
Preoperative Coordinator

Position Type:
Temporary/Temp-Hire
Schedule: M-F, 8:00 am - 5:00 pm
Assignment Length: Approximately 3-4 Months, possibly longer.

DESCRIPTION
The Preoperative Coordinator is responsible for ensuring patients are fully prepared for scheduled surgical procedures by collecting, reviewing, and organizing all required preoperative documentation. This role coordinates with physicians' offices, hospitals, laboratories, imaging centers, and patients to obtain necessary medical records, test results, and surgical clearances prior to the procedure. The Preoperative Coordinator helps ensure surgeries proceed as scheduled by verifying that all required documentation is complete, accurate, and available before the date of surgery.

Key Responsibilities

  • Coordinate all preoperative requirements for patients scheduled for surgery.
  • Obtain and review required laboratory results, diagnostic testing, imaging reports, and physician clearances.
  • Communicate with primary care providers, specialists, hospitals, laboratories, and diagnostic facilities to collect outstanding documentation.
  • Monitor preoperative requirements and follow up on missing or incomplete records to ensure timely completion.
  • Verify that all required documentation meets surgeon and facility requirements before surgery.
  • Maintain accurate and organized patient records within the electronic medical record (EMR) system.
  • Communicate with patients regarding outstanding preoperative requirements and provide instructions as needed.
  • Coordinate with surgical schedulers, physicians, and clinical staff to resolve any issues that could delay or impact scheduled procedures.
  • Document all communications, follow-up activities, and received records in accordance with organizational policies.
  • Ensure compliance with HIPAA and all applicable privacy and regulatory requirements.
REQUIREMENTS
  • High school diploma or equivalent required; associate degree or medical administrative certification preferred.
  • Minimum of 1–2 years of experience in a medical office, surgery center, hospital, or specialty practice preferred.
  • Experience coordinating surgical cases or preoperative documentation is highly desirable.
  • Familiarity with medical terminology, laboratory testing, diagnostic imaging, and surgical clearance requirements.
  • Experience using electronic medical record (EMR) systems.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and customer service skills with the ability to interact professionally with patients and healthcare providers.
  • Detail-oriented with the ability to prioritize multiple cases while meeting deadlines.
