Overview Location: Air Force Academy - Refractive Surgery Center, 10th Medical Group Summary: Performs a variety of surgical coordinating, scheduling of appointments and procedures, and medical administrative duties in support of patient care and treatment. Schedule: Works Monday through Friday. Shifts may be 8 to 10 hour per day, but will not go over 40 hours a week. Uses the Ambulatory Data System (ADS) and Composite Health Care System (CHCS) computer terminal in performance of duties. Uses the Electronic Healthcare Record (EHR) Genesis computer terminal in performance of duties. Meets short-notice suspense as established by the organization. Ensure a safe work environment and employee safe work habits. Maintains a professional manner and displays a positive cooperative attitude. Shall use approved DoD medical information systems on a daily basis. Surgical Coordinator/Scheduler duties include the following: Uses computerized appointment system (Genesis) to schedule various types of appointments, to include preadmission teaching appointments, which are made both telephonically and in person. Verifies patient information and makes corrections in Genesis if needed with each request for an outpatient visit, surgical procedures, and PAT appointments. Ensures all treatment requested by the provider has been scheduled; reschedules appointments when necessary. Creates surgical treatment plans and ensures technicians and doctors complete applicable blocks in surgical request. Verifies surgeon availability and ensures surgeon is assigned to correct patient, surgery date, time, and duration. Ensures recommendations/ special instructions/ surgical comments, etc. are documented and has surgeon concurrence. Adds patient names to waiting list, or coordinate waiting list with clinic staff, if necessary. Creates a manual schedule for health care providers as required when automated system is down or for short periods of time. Corresponds with all patients. Sends notification e-mails advising patients of available surgery dates and confirms scheduled surgery date. Performs various other clerical tasks to assist staff members. For example, assures providers have their appointment rosters and administrative medical records and uses computer terminal to obtain requested patient information. As required, calls patient from waiting area and escorts them to exam room. Edits/ updates surgical phone numbers with staffing changes. Perioperative Surgical Coordinator only: Coordinates with the Chief of Surgery, Perioperative Services Leadership and/or Market Leadership to update or change allocated surgical block time as directed. Provides patients with step by step instructions required for surgery, to include, itinerary of surgical process, additional testing required prior to surgery, pre and post-op appointments, briefing schedule, maps, billeting availability, key phone numbers Prepares all surgical charts. Ensures each chart includes all e-mail correspondence, Aviation/Warfighter applications, approval letters, managed care agreements, treatment plans, surgical verification forms, convalescing leave documents, medical profiles, Standard Forms, and all eye examination documentation. Ensures Optometrists recommendations are documented and has surgeon concurrence. Creates surgical treatment plans and ensures technicians and docto s complete applicable blocks. Prepares a pre-operative briefing packet that includes follow-up appointments, profiles, pre and post-operative instructions, convalescent leave paperwork, and medication inventories. Coordinates with 10 Medical Group pharmacy with patient names, surgical date, procedures, and required medication for refractive surgery. Adds patient names to waiting list, if necessary. Calls patient on waiting list when appointments become available. Creates a manual schedule for health care providers as required when automated system is down or for short periods of time. Addresses and mails out appointment notifications as required. Explains delays in appointment schedules as appropriate to patients whenever possible; refers them to other appropriate sources for information if necessary. Qualifications English Language Requirement. Shall be able to read, understand, speak, and write English well enough to communicate effectively and be a United States citizen. Education. Surgical Coordinator shall have a minimum of a high school Diploma or GED Equivalent. Experience. Two years' experience in a health care environment and two years
