    3418591 Surgical Scheduling Coordinator , Worcester, MA 6 months Contract.
    Sigma Systems is currently looking for a Surgical Scheduling Coordinator to work within the Thoracic Surgery unit at UMASS in Worcester, MA.

    Schedule : Full-Time, Monday-Friday , 8:00 AM - 4:30 PM, 40 hours/week

    Job Summary

    Sigma, Inc. is seeking an experienced Surgical Scheduling Coordinator to support a busy Thoracic Surgery practice at a leading academic medical center in Boston, MA. This role is ideal for candidates with experience in hospital or specialty medical practices who are skilled in surgical scheduling, referral coordination, insurance verification, and provider support.

    The selected candidate will coordinate complex patient scheduling, manage referrals, ensure all required diagnostic testing and documentation are completed prior to appointments, and support physicians and advanced practice providers in a fast-paced specialty clinic.

    Required Qualifications

    • High School Diploma or equivalent required.
    • Medical Secretary, Medical Assistant, or related vocational training preferred.
    • Minimum 2 years of experience in a medical office or healthcare setting.
    • Previous experience in a hospital or specialty medical practice required.
    • Experience supporting physicians and/or advanced practice providers.
    • Experience with surgical scheduling or specialty clinic scheduling preferred.
    • Experience coordinating referrals, insurance verification, and prior authorizations.
    • Strong knowledge of medical terminology.
    • Proficiency with Epic or comparable Electronic Health Record (EHR) systems.
    • Proficient with Microsoft Office Suite.
    • Excellent communication, organizational, and customer service skills.
    • Ability to maintain confidentiality and comply with HIPAA regulations.

    Responsibilities

    • Schedule new patient consultations, follow-up appointments, and surgical procedures.
    • Coordinate diagnostic testing, including CT scans, MRI, PET scans, pulmonary function testing, cardiac testing, and other specialty diagnostics.
    • Manage provider schedules and coordinate complex surgical workflows.
    • Process referrals from internal and external providers.
    • Accurately enter physician surgery orders and referral information into the electronic medical record.
    • Verify insurance eligibility, referrals, and obtain prior authorizations.
    • Ensure providers receive all required imaging, testing, records, and documentation before patient appointments.
    • Answer and triage high-volume patient calls and route clinical messages appropriately.
    • Register patients and maintain accurate demographic and insurance information.
    • Maintain patient records and administrative documentation.
    • Coordinate communication among providers, nursing staff, patients, and outside facilities.
    • Support physicians, advanced practice providers, nurses, and administrative staff to ensure efficient clinic operations.

    Preferred Qualifications

    • Epic experience strongly preferred.
    • Previous experience in an academic medical center.
    • Experience supporting Thoracic Surgery, General Surgery, Surgical Oncology, Cardiology, Pulmonology, Orthopedics, or other surgical specialties.
