Systems and Process Manager

About the Role

The Systems and Process Manager with ClimateWorks Foundation’s Clean Cooling Collaborative (CCC) Program is a new position on the team, and will play a critical cross-functional role in ensuring the efficient operation, strategic learning, and effective execution of the CCC team's initiatives. This position is central to managing the CCC's grantmaking processes; coordinating essential grantee reporting and progress tracking functions; supporting management of the program budget; and providing high-quality project management for key internal and external activities, including arranging convenings that support its network. The Systems and Process Manager will be a key liaison between CCC and other CWF departments, drive process improvements, facilitate strategic knowledge sharing (internal and external), and actively contribute to fostering a positive and inclusive team culture. Success in this role requires a strong process orientation, meticulous attention to detail, demonstrated grants management expertise, and the ability to autonomously manage multiple complex projects.

Department Summary

The Clean Cooling Collaborative (CCC) is a high-impact team within ClimateWorks Foundation (CWF) dedicated to accelerating the global transition to efficient, climate-friendly cooling solutions. The team works to reduce the climate impact of the cooling sector while increasing access to life-saving clean cooling for those who need it most. The team drives philanthropic strategy, catalyzes a network of high-impact grantees, and supports cutting-edge initiatives to realize a future where cooling is sustainable and accessible.

Our program is organized around three major activity areas: 

• Driving global action to scale clean cooling and mobilizing additional investments,
• Transforming markets for clean cooling solutions, and
• Increasing cooling access for heat-vulnerable communities. 

How you will contribute

The Systems and Process Manager will support the internal operational needs of the CCC team, helping to strengthen organization and creating efficiencies in the team’s workflows. The Manager will be responsible for the following duties:

• Manage CCC grantmaking processes and operations, including budget coordination, systems management, data accuracy, reporting, and compliance adherence, in close communication with CCC Portfolio Leads and the grants management team.
• Coordinate with CWF departments and staff (e.g., Executive Assistant, Finance, and Philanthropic Partnerships) to streamline CCC operations and serve as the team's budgeting, grantmaking, and reporting liaison.
• Develop and manage processes and data collection that contribute to CCC's Monitoring, Evaluation, and Learning (MEL) functions, including setting up new systems for grantee report collection, synthesis and tracking, in addition to leading processes to generate full program summary reports, in coordination with the Communications Team.
• Manage and support internal team needs, including tracking progress of the team’s annual milestone calendar, developing program presentation materials, co-designing and facilitating CCC team meetings and retreats, and developing an internal learning agenda.
• Manage and execute grantee learning events and engagement, CCC grantee-funder convenings, and other strategic knowledge-sharing activities, including leading agenda design, facilitation, and coordination with logistics support. This role is key to ensuring that lessons learned and insights from the CCC portfolio are effectively disseminated to grantees, sector practitioners, and the broader philanthropic community.
• Take a leadership role in shaping a positive team culture, actively fostering collaboration and inclusivity. This involves modeling desired behaviors, encouraging open communication, and ensuring all team members feel valued and empowered to contribute their best work.

Qualifications

• Bachelor’s degree or equivalent
• At least 6 years of experience in project management roles
• Demonstrated history of solution-oriented project management, including the ability to initiate and manage multiple simultaneous projects, prioritize tasks, and work effectively and efficiently with minimal supervision
• Process-oriented mindset with keen attention to detail and strong organizational skills. Assiduous attention to detail and protocol
• Experience in designing and leading meetings or convening planning processes
• Competence in MS Excel, PowerPoint, Word, Outlook, along with competence in database management (e.g., Salesforce, GMS) and project management tools (e.g., Asana)
• Good personal and interpersonal communication skills, including the ability to effectively present information and respond to inquiries from partners and colleagues

• Willingness to be flexible, adaptable, and proactive in a dynamic work environment
• Ability to participate in periodic early morning or evening calls to accommodate our international partners

Preferred Qualifications:

• Familiarity with or experience in the non-profit sector or philanthropy
• Experience managing/tracking budgets
• Familiarity or experience with grants management, including developing and implementing process improvements and systems
• Strong written and oral communications skills
• Experience creating and managing processes that produce high-quality materials and products
• Familiarity or experience with Monitoring, Evaluation, and Learning (MEL) frameworks or systems is a plus
• Ability and willingness to travel as needed, including international travel

Location

ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as San Francisco- or New York City-Preference, but we may consider other U.S. locations for exceptional candidates.  SF- or NYC-based will be expected to come into ClimateWorks’ local office one to two days per month. Geographic differential applied to compensation based on local cost of labor.

Compensation

ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location).

For US-based position the salary range is as follows:

Tier 1: $120,000 to $130,000 (SF Bay Area/NYC)

Tier 2: $110,000 to $120,000 (Other US locations)
