About the Role:

As a CBRE Talent Acquisition Coordinator, you are a foundational member of the Pre-Boarding Operations organization - the team responsible for offer governance, pre-hire compliance, background screening, and employment eligibility across CBRE. You will deliver exceptional candidate experiences by coordinating seamlessly across the offer letter lifecycle and background screening process, ensuring every new hire transitions smoothly and compliantly from offer acceptance to Day 1.

The Pre-Boarding Operations team sits within CBRE's broader People Services organization and serves as the enterprise center of excellence for offer governance and pre-hire compliance. Our work touches every new hire globally and directly shapes CBRE's ability to onboard talent compliantly, efficiently, and with a best-in-class experience. What You'll Do:

Offer Letter Administration

  • Prepare and issue standard offer letters and employment agreements for entry-level through senior management hires, ensuring all compensation, title, and start date details are accurate prior to distribution.
  • Validate requisition compliance - confirming that Talent Acquisition Partners have completed all required steps before an offer letter is initiated.
  • Maintain and organize the offer letter filing system in accordance with record-keeping and OFCCP documentation standards.
  • Collaborate with People Partners and Payroll to resolve discrepancies in compensation, job codes, or title alignment before offers are extended.
  • Track offer letter statuses in the applicant tracking system (Avature) and provide timely updates to recruiters and hiring managers.

Background Screening Liaison & Status Management

  • Partner closely with the Background Coordinator team to ensure each new hire's background screening is progressing on schedule as part of the overall offer management process.
  • Monitor background check statuses daily and proactively communicate updates to candidates, hiring managers, Talent Acquisition Partners, and People Partners.
  • Flag delays, outstanding items, or screening issues to the appropriate Background Coordinator or Senior Background Coordinator so they can be resolved without impacting the candidate's start date.
  • Coordinate timing between offer letter issuance and background screening milestones to ensure a seamless pre-boarding experience for every candidate.

I-9 Compliance - Part 1

  • Own I-9 Part 1 completion for all new hires - ensuring candidates receive timely instructions, complete Section 1 accurately, and submit prior to their start date.
  • Track I-9 Part 1 statuses across all active new hires, proactively following up on incomplete or overdue submissions.
  • Coordinate with the Data Entry team, who are responsible for completing I-9 Part 2, to ensure the full I-9 is finalized on time and in compliance.
  • Flag any I-9 discrepancies or compliance concerns to the Senior Talent Acquisition Coordinator for resolution.

Coordination & Administration

  • Assist with new hire onboarding logistics, including preparation of required paperwork, coordination of welcome communications, and scheduling of orientation and training sessions.
  • Maintain accurate and up-to-date records across all systems of record (Avature, ServiceNow, etc.).
  • Follow established standard operating procedures (SOPs) for all workstreams; escalate identified process gaps or improvement ideas to the Senior Talent Acquisition Coordinator.
  • Support audit readiness by maintaining tidy, complete documentation on all candidate files.
  • Contribute to ad hoc projects and process improvement initiatives as directed.

  • High School Diploma or GED with up to 2 years of relevant work experience in HR, recruiting operations, or administrative coordination.
  • Ability to follow defined workflows and apply standard procedures consistently with close supervision and guidance.
  • Strong attention to detail with a commitment to accuracy in data entry and document management.
  • Clear, professional written and verbal communication skills.
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook); willingness to quickly learn HR and ATS platforms.
  • Strong organizational skills and ability to manage multiple tasks in a fast-paced, deadline-driven environment.
  • A customer-service mindset with genuine care for the candidate experience.
