WHERE YOULL FIT WITHIN THE TEAM

A key member of the New York program management staffing and office operations teams, supporting the local Staffing Program Management and Operations teams and the Office Heads. This role reports into a senior member of the Program Management team but interacts across the entire Program Management team, the Business Operations team, the Human Resources team, the HR VP, and the Office Heads.

WHAT YOULL DO

Senior Manager Associate Partner SMAP" program support

Provide ongoing SMAP program logistics support, including Sponsor and PD Advisor pairing and affiliation tracking.

Maintain ongoing master lists of SMAPs with affiliation, Extra 10" and practice roles outside of case work, PD advisor and Sponsor pairings, as well as mapping to Partner Class Advocates.

Partner with HR to proactively identify where new PD advisors and Sponsor matches will need to be made due to LOAs departures, new transfers, etc.

Drive quarterly processes to refresh Sponsor pairings due to recent affiliations.

Draft communications out to confirm PD Advisor and Sponsor pairings and connect SMAPs as needed.

Supporting planning and execution for key SMAP trainings and events.

Support preparation for content and logistics for bi-annual new SM and new AP Day.

Support preparation for content and logistics for SMAP offsites and LT offsites as needed.

Support logistics and preparation for the SM Leaders Journey trainings, including maintaining the budget, working with the venue and trainers to prepare for the training, confirming meals out of venue logistics, and managing travel plans.

Provide ongoing support for other SMAP trainings and priorities in partnership with the SMAP Class Captains, including maintaining a view of the training and events calendar and how it interacts with the broader NY Office calendar and office space.

Support planning and execution of ongoing staffing-driven and people-focused meetings and support the Practice Champion program.

Support preparation for bi-annual practice break-outs and People" meetings.

Update views on Manager and SMAP talent pipeline for quarterly check-ins with each Practice Champion, update to reflect latest affiliation status, tenure, staffing, PD advisor, and Sponsors.

Work with Talent VP and SM PM to establish priorities, arrange for required content, and maintain an eye on continuous improvement of the meeting formats and content.

Leverage latest LT practice mapping to provide guidance annually on how to allocate Practice Champion budget.

Support preparation of the quarterly NPS report for the NY PEG LT.

Act as local intermediary between Global training liaison and local PM for all trainee identification, eligibility outreach, and follow-ups, ensuring any outstanding questions are addressed in a timely manner.

Lead bi-annual process to solicit input and assign trainers for each training session, partnering with the NY training coordinator and respective cohort PMs.

Drive ongoing trainer identification as needed to fill unexpected changes in availability driven by staffing LOA personal circumstances, etc.

Prepare communications out to broader LT to solicit input on trainings and communicate key training messages.

Serve as primary point of contact with our training liaison to manage questions on participant attendance and training, and where needed, support cancellations and changes pragmatically, identifying needs and escalating as needed.

NY Office Communications

Create and drive office-wide and SMAP-specific communications plan and calendar in collaboration with Office Heads, Operations, and local Staffing Program Management team.

Includes end-to-end ownership of logistics and process for larger meetings, office-wide meetings, LT meetings, SMAP meetings, from setting calendar invites, aligning content and presenters, developing content, messages, where needed, day-of-event coordination, recaps, etc.

Manage office-wide and SMAP-specific communications to ensure strategic initiatives in the NY office are being met and communicated to the office.

Includes ownership of messaging, frequency of communications, and best practices across mix of platforms, including but limited to NewYork.Bain.com.

Office-wide repository of information related to NY office operations and experience.

Monthly office newsletter hosted within NewYork.Bain.com, highlighting recent events and office priorities.

NYO teams channel, Informal teams community, Digital signage, to reinforce key messages.

Traditional OWM, SMAP-meeting recap notes, summarizing key information and messages.

Act as liaison with various office communities to ensure communication needs are being met, classes, functions, affinity groups, office extra 10, and Social Impact organizations, etc.

Budget planning and tracking.

Support local office budget planning and tracking throughout the year.

Support annual budgeting exercise to assess trade-offs between office priorities.

Provide additional support for SMAP-focused connectedness budgets - including monthly tracking and reminders at group and individual level, where needed.

SMAP in-office experience support.

Manage allocation of SMAPs and teams across practice hubs in office, optimizing distribution of SMAPs to ensure the best possible experience.

Includes managing database of ongoing cases by senior manager and acting as liaison between staffing PM and operations team to enable team suite and office booking.

Conduct analysis on in-office occupancy and experience for both near-term optimization and longer-term real estate planning needs.

Provide additional ad-hoc support to SMAPs as visible layer of in-office operations team.

Ad-hoc support.

Manage vacation approvals for SMAPs, escalating as needed.

Manage overdue review escalation process for SMAP reviews involving program management and office leadership, as necessary.

Run ad hoc reports and analyses as requested by Program Management and Operations team.

Support broader NY operations team for 'all-hands-on-deck support, office-wide and SMAP events, as needed.

Provide ad-hoc support to the NY Partner Promotion Process, as needed.

About You

Minimum of three years professional experience.

Strong customer service, organization, interpersonal, and communication skills.

Ability to deal with highly confidential information appropriately.

Ability to prioritize, meet deadlines, and juggle multiple tasks simultaneously.

Meticulous attention to detail necessary.

General knowledge and experience with Microsoft Excel for basic analysis and tracking purposes.

General knowledge and experience with Microsoft PowerPoint for basic slide design and presentations.

Excellent interpersonal communication, written, and verbal, and project management skills.

U.S. Compensation Information

Compensation for this role includes base salary, annual discretionary performance bonus, 401k plan with an annual employer contribution based on years of service, and Bains best-in-class benefits package details listed below.

Some local governments in the United States require a good-faith reasonable salary range to be included in job postings for open roles. For all other locations, the good-faith reasonable annualized full-time salary range for this role is commensurate with competitive geographic market rates for this role and will vary based on several factors, including but not limited to experience, education, licensure, certifications, training, and skill level.

In New York, the good-faith reasonable annualized full-time salary range for this role is between $80,000 - $96,000. Placement within this range will vary based on several factors, including but not limited to experience, education, licensure, certifications, training, and skill level.

Annual discretionary performance bonus.

This role may also be eligible for other elements of discretionary compensation.

4.5% 401k company contribution, which increases after 3 years of service and is 100 vested upon start date.
