Job Title: Team Administrative Assistant – RDS R&D Computational Science & Informatics

Pay rate: $35.00 - $38.05
Work Schedule: M-F 9:00 AM to 5:00 PM (with flexibility)
Roche is seeking an adaptable, tech-forward Executive Assistant to support the leadership team within the RDS R&D Computational Science and Informatics (CSI) department in Santa Clara, CA. This contract position (11/02/2026 to 11/01/2027) drives high-level administrative, operational, and event management functions while leveraging modern AI productivity tools to optimize executive workflows, synthesize key information, and reduce administrative overhead across the department.
Educational & Experience Requirements:
Bachelor’s degree (or equivalent experience) required.
5+ years of senior executive administrative experience in complex, fast-paced corporate or R&D environments.
Top Required Skills & Qualifications:
Productivity Tools: Advanced proficiency in modern cloud-based productivity suites (Google Workspace and/or Microsoft 365).
AI Fluency: Hands-on experience using generative AI platforms (e.g., ChatGPT, Gemini) and prompt writing techniques to synthesize information, automate routine workflows, and collaborate effectively with AI-fluent leadership.
Executive & Leadership Support: Experience proactively managing complex calendars, priorities, and daily operations for senior executives and Chapter Leads.
Event & Travel Coordination: End-to-end planning and execution of domestic and international travel itineraries, leadership offsites, large-scale department events, and multi-party conferences.
Financial & Expense Management: Experience assisting with budget preparation, expense tracking, purchase order (PO) creation, and invoice reconciliation.
Communication & Discretion: Poised written and verbal communication skills with a proven track record of exercising sound business judgment, independent initiative, and strict confidentiality.
Primary Accountabilities:
Provide high-level administrative and operational support to CSI Chapter Leads and senior executives.
Plan and execute travel itineraries, offsites, department events, and conferences.
Manage department operations, candidate interview scheduling, office space planning/moves, supply inventory, and vendor relationships.
Draft, edit, and format high-impact memos, presentations, and reports by aggregating data from cross-functional sources.
Evaluate and streamline administrative workflows using modern digital tools and generative AI to enhance team productivity.
Serve as the administrative lead for new systems, processes, platforms, and training compliance while participating in administrative communities of practice.
