    Description

    Construction experience and Procore proficiency are required.

    We are seeking a highly organized Team Coordinator to support project managers and keep construction projects running smoothly. This role focuses on billing coordination, contract administration, document control, and communication across multiple active projects.

    Billing & Project Coordination

    • Manage monthly billing, including AIA Payment Applications, subcontractor invoices, lien releases, and payment tracking
    • Coordinate 5–8 active projects simultaneously
    • Prepare and file preliminary notices, notices of completion, and any other required project documents in a timely manner.

    Communication

    • Act as a primary point of contact for project teams, clients, subcontractors, and vendors
    • Contract & Document Management
    • Draft, track, and manage contracts, change orders, and closeout documents
    • Maintain organized project records in Procore (required)
    • Track Certificates of Insurance and ensure compliance
    • Assist with labor request from the team / field staff
    • Coordinate insurance documentation and renewals as required by contracts

    Team Support

    1. Provide administrative and operational support to project managers
    2. Assist with issue resolution and general project support

    Work Schedule

    First 90 days (Training Period):In-office 5 days per week

    • After 90-Day Review (Successful Completion of Training):
    • Eligible for up to 2 remote days per week
    • In-office required every Wednesday
    • Remaining in-office and remote days are assigned by your supervisor
