Technical Engineer - Work Control Project Specialist

We are seeking an experienced Work Control Project Specialist to oversee scheduling, reporting, compliance tracking, and database management for a large Base Operations Support (BOS) contract. This position manages a high-volume preventive maintenance program consisting of approximately 16,000 recurring PM tasks across multiple trades including HVAC, electrical, plumbing, carpentry, and mechanical systems.

The PM Supervisor is responsible for ensuring all scheduled maintenance is properly assigned, tracked, completed, documented, and reported in accordance with contractual requirements and government deadlines.

Essential Duties & Responsibilities

  • Create and distribute monthly preventive maintenance schedules for approximately 4,000 PM tasks per month
  • Manage recurring PM frequencies including weekly, monthly, quarterly, semiannual, annual, and biennial tasks
  • Monitor PM completion status and ensure all scheduled work is accounted for
  • Redistribute workloads as necessary based on staffing levels, technician availability, and operational demands
  • Coordinate daily with trade supervisors regarding manpower, scheduling, and PM execution
  • Track technician leave and staffing impacts to maintain PM completion rates
  • Review and correct unacceptable data entries, scheduling errors, and database discrepancies
  • Maintain and validate PM records, asset inventories, and maintenance databases
  • Investigate inconsistencies between contract inventory records, field conditions, and database data
  • Prepare and submit approximately 30 monthly government deliverables within contractual deadlines
  • Generate weekly and monthly reports for project management, corporate leadership, and finance teams
  • Report scheduled, completed, and incomplete PM totals for invoice deductions
  • Use analytical thinking to create filters, tracking methods, data analysis, and reporting tools to improve PM tracking and accountability
  • Support implementation and migration into Maximo CMMS
  • Assist with development of Maximo load sheets and asset data validation
  • Identify refrigerant systems, researching equipment information, and tracking refrigerant data
  • Coordinate with technicians and supervisors to verify asset changes, equipment replacements, and field conditions

Essential Skills

  • Ability to work efficiently under pressure in a high-energy maintenance operations environment.
  • Ability to succeed in a high-demand work control environment supporting multiple maintenance crews.
  • Strong knowledge of Computerized Maintenance Management Systems (CMMS), preferably IBM Maximo.
  • Understanding of maintenance work order lifecycle and preventive maintenance programs.
  • Knowledge of dispatching methods, maintenance coordination, and work control processes.
  • Familiarity with building maintenance operations and service requirements.
  • Ability to operate a personal computer with strong attention to accuracy and detail.
  • Ability to establish priorities to ensure completion of tasks in a timely manner.

Requirements

  • Bachelors Degree in Computer Engineering or technically related field.
  • Minimum of 3 years technical experience.
  • Experience working with CMMS platforms such as Maximo, Smartsheet, or similar systems
  • Advanced Microsoft Excel skills including formulas, filtering, sorting, pivot tables, and reporting functions
  • Strong analytical and problem-solving abilities
  • Ability to manage large amounts of operational and maintenance data accurately
  • Experience preparing reports and/or deliverables with strict deadlines
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and coordination skills across multiple departments and trades

Preferred Qualifications:

  • Experience working on government or military facilities contracts
  • Familiarity with facilities maintenance operations across multiple trades
  • Experience with asset inventory validation and data cleansing
  • Experience with Maximo implementation or CMMS migrations
  • Familiarity with HVAC refrigerant tracking systems such as TrakRef
  • Knowledge of contract compliance reporting and maintenance performance metrics

Physical Requirements

  • Carrying objects/boxes/print-outs short distances
  • Extensive work with a personal computer
  • May require lifting and moving as much as 25 pounds with assistance
  • Use of hands, reaching with hands and arms, talking, and walking
  • Prolonged periods of sitting, bending, squatting, standing, twisting, or stooping
  • This is an indoor clerical position
