Are you a detail-oriented professional with a passion for process discipline, project coordination, and technical team support? Thompson & Litton, an established multi-disciplined firm, has an immediate opening for a Technical Office Assistant (TOA).
This is not a clerical or receptionist role. The TOA is directly embedded within our project delivery teams, playing a vital operational role in keeping engineering and architectural projects organized, compliant, and moving forward smoothly from initial kickoff to construction closeout.
The Role: Driving Project Organization & Compliance
As a key member of the project delivery team, you will support Project Managers (PMs), design professionals, and Construction Contract Administration (CCA) staff. You will:
- Lead Project Setup & Coordination: Assist PMs with project initiation tasks, including directory creation, setting up project numbers, tracking agreements, and helping generate Owner/Contractor (AIA and EJCDC) Agreements.
- Manage Document Control: Maintain complete, organized project files according to firm standards. Prepare, log, track, and archive contracts, amendments, meeting minutes, submittals, RFIs, pay applications, and change orders.
- Support Construction Administration (CCA): Provide critical administrative support during construction—ensuring RFIs, submittals, and field documentation are properly prepared, logged, distributed to team members, and tracked to resolution.
- Assemble Specifications & Deliverables: Assist with the preparation, quality control, organization, and assembly of project manuals, specification books, and bidding/procurement documents.
- Maintain Process Standards: Reinforce firm-wide operational procedures, flag missing documentation or process gaps, and collaborate with TOAs across regional offices to balance workload and maintain consistency.
What You Bring
- Experience & Education: High school diploma or equivalent required (Associate's or Bachelor's degree preferred); prior experience supporting technical, architectural, engineering, or construction staff is highly advantageous.
- Software & Industry Tools: Proficiency in Microsoft Office (Word, Excel, Outlook). Familiarity with project platforms and industry contract/spec tools such as Procore, SpecLink, AIA, or EJCDC contracts is a strong plus.
- Key Competencies: Exceptional organizational skills, laser focus on detail and accuracy, and the ability to manage competing priorities across multiple active projects.
- Communication:
Strong written and verbal communication skills, with a collaborative, proactive approach to problem-solving.
