Job Description

Department: Admissions and Records

General Statement of Job

The Records Technician interacts directly with students and performs duties pertaining to admission requirements and enrollment, such as processing incoming documents, clearing students to register, assisting with registration, schedule changes, transcript requests, application tracking, scanning documents, maintaining student records and other duties. Assists with graduation functions and provides assistance with events held in the Enrollment Center.

Specific Duties and Responsibilities

Essential Functions:
  • Provides a positive, friendly, knowledgeable impression of the College; assists students with information for successful college entrance.
  • Assists with evaluating transcripts of courses with school entrance or degree requirements and inputs final evaluations into the college student database system, after review and approval from Transcript/Graduation Analyst.
  • Assists with explaining all admissions evaluations to students.
  • Provides assistance with high school enrollment events.
  • Assists with scanning documents, as needed.
  • Refers students with academic discrepancies to proper department heads for further action.
  • Ensures the quality control of data entry, application tracking, and verification of student files are correct.
  • Assists in all facets of student registration.
  • Maintains student records according to the college Records and Retention Plan.
  • Performs activities and related duties that pertain to the yearly student commencement/graduation ceremonies.
  • Regularly assists professional staff in completing task projects and verifying edit reports as assigned.
  • Maintains familiarity with the College's programs, policies, procedures and academic standards, as well as state and federal regulations pertaining to admission standards.
  • Performs other duties as assigned.

Required Education and Experience
  • To qualify, one of the following must be met:
    • College Certificate
    • A minimum of 30 earned college hours
  • At least one (1) year of customer service or similar experience preferred.

Required Knowledge, Skills and Abilities
  • Excellent oral, written, and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to work independently as well as a team player within department and with others.
  • Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
  • Demonstrated commitment to achieving the vision and mission of South Texas College.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to effectively present information in one-on-one and small group situations to students, parents
