Temporary Part-Time Clerical (Records & Digitization Assistant)

Department: Public Works (Highway)

Status: Temporary Part-Time (11 Weeks)

Pay Rate: $20.00 per hour

Schedule: 3 days per week

Position Summary

The City of Claremont is seeking a detail-oriented and dependable Temporary Part-Time Clerical (Records & Digitization Assistant) to support the Department of Public Works with a special records management project. This temporary position will play a key role in organizing departmental filing systems and digitizing important records to improve efficiency, accessibility, and long-term document preservation.

This is an excellent opportunity for someone who enjoys organization, has strong attention to detail, and takes pride in producing accurate work.

Essential Duties

  • Organize and sort existing paper files and records.
  • Create and maintain an organized filing system.
  • Scan, digitize, and electronically file documents.
  • Verify scanned documents for accuracy and completeness.
  • Maintain confidentiality of City records and information.
  • Assist with document indexing and record retention organization.
  • Perform other related duties as assigned in support of the project.

Qualifications

  • High school diploma or equivalent.
  • Strong attention to detail and organizational skills are essential.
  • Ability to accurately manage large volumes of documents.
  • Basic computer skills, including Microsoft Office and file management.
  • Ability to work independently while following established procedures.
  • Prior experience with records management, filing, scanning, or administrative support is preferred but not required.

Physical Requirements

The position requires sitting, standing, walking, bending, lifting file boxes weighing up to 25 pounds, and operating standard office equipment, including computers and document scanners.
