About Total Sono

Total Sono supports OB/GYN practices by delivering high-quality obstetrical and gynecological ultrasound services through close collaboration between sonographers, perinatologists, and clinical support teams.

Our work centers on patients during moments that can feel exciting, emotional, or uncertain. Patient Imaging Coordinators play a critical role in this experience by helping patients feel informed, supported, and cared for from the moment they arrive. By combining clinical excellence with a warm, patient-first approach, our teams help create clarity and confidence during important moments in care.

About the Role

This role is temporary for the summer with scheduled hours between 24-28 hours/week.  This role will need to work in Newark, Bloomfield and the greater Essex, Union County.

The Patient Imaging Coordinator is often the first and most consistent point of connection for our patients. In this role, you help set the tone for a calm, organized, and compassionate imaging experience from the moment a patient arrives to the moment they leave.

You will support patient check-in, scheduling, insurance verification, and payment collection while working closely with sonographers, clinical leaders, and our Revenue Cycle team. This role is ideal for someone who enjoys patient interaction, values accuracy and accountability, and thrives in a fast-paced healthcare environment.

This position is an ideal entry point for new graduate Sonographers who want to gain meaningful exposure to the clinical imaging environment, patient communication, and operational workflows that support high-quality care. For new graduate Sonographers, this role provides valuable context and experience while building strong relationships with clinical teams and leadership.

What You'll Do

  • Welcoming patients and guiding them through the check-in process with professionalism and empathy
  • Supporting a smooth patient flow by keeping schedules organized and patients informed
  • Answering phones, responding to patient questions, and assisting with appointment coordination
  • Scheduling imaging appointments and entering orders accurately based on established guidelines
  • Verifying insurance coverage, collecting required documentation, and supporting authorization workflows
  • Collecting patient payments, issuing receipts, and completing daily cash reconciliation with precision and accountability
  • Maintaining accurate patient records, including demographics, insurance information, and required consent forms
  • Partnering with clinical staff and internal teams to proactively address scheduling or coverage issues
  • Monitoring inboxes and systems to ensure timely patient communication and care coordination
  • Raising questions, concerns, or operational issues to leadership when support is needed

What We're Looking For

  • A strong customer service mindset with comfort interacting with patients in person and by phone
  • Attention to detail and a high level of accountability, especially when handling payments and reconciling daily collections
  • Ability to stay organized, prioritize tasks, and adapt in a busy clinical environment
  • Comfort using computers and learning new systems
  • Clear and professional communication skills

Required Qualifications

  • High School Diploma or GED
  • Ability to communicate effectively in English, both verbally and in writing
  • Ability to handle financial transactions and complete accurate daily cash reconciliation

Preferred Qualifications

  • Associate Degree
  • Medical front-office, patient access, or healthcare experience
  • Knowledge of medical terminology or medical office workflows
  • Experience with electronic health records or scheduling systems
  • New graduate Sonographer interested in gaining clinical environment exposure
