Position Overview:

Ultimate Staffing Services is actively seeking a dedicated and highly organized Tenant Services Coordinator to join their client's dynamic property management team in Colorado. This role is pivotal in building strong tenant relationships, ensuring high-quality service delivery, and supporting daily property operations. The ideal candidate is service-oriented, detail-driven, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Serve as the primary point of contact for tenants; respond to inquiries, concerns, and service requests promptly and professionally.
  • Coordinate with property management staff, maintenance teams, and third-party vendors to resolve tenant issues efficiently and ensure property standards are maintained.
  • Maintain accurate and up-to-date records of tenant interactions, service requests, and resolutions.
  • Assist with tenant communications, events, and satisfaction initiatives.
  • Provide administrative support to property management operations, including contract preparation and tracking tenant and vendor Certificates of Insurance.
  • Answer, screen, and route incoming calls with professionalism and courtesy.
  • Maintain current tenant and property contact information.
  • Respond to tenant requests calmly and courteously, fostering positive and professional tenant relationships.
  • Prepare correspondence, reports, and meeting materials for internal and external stakeholders.
  • Coordinate and participate in new tenant orientation meetings, reviewing move-in requirements, property information, and building policies.
  • Manage office supply inventory, including ordering supplies and monitoring pricing for cost efficiency.
  • Support office equipment maintenance and manage postage and mailing supplies.
  • Conduct routine inspections of tenant spaces, common areas, and building grounds to ensure cleanliness, safety, and maintenance standards are met.

Qualifications:

  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Prior experience in property management, tenant services, or customer service preferred.
  • Ability to handle conflict with professionalism, discretion, and empathy.
  • Proficiency in Microsoft Office; experience with property management software is a plus.

Requirements:

  • Work Hours: Monday - Friday 8 am to 5 pm Onsite
