    Job description:

    **This is a full time, in-office position, Monday-Friday 9:00AM-5:30PM.**

    The Therapist Scheduling Coordinator is responsible for creating and maintaining clinician schedules according to authorizations, patient needs, and clinician availability. The scheduling coordinator must maintain excellent relationships with the therapists and vendors, be aware of their availability and special skills, and their geolocation. The employee must submit the schedules before the end of the day and report to case managers, operations managers, and the DON.

    The ideal candidate for this role is someone with previous home health experience or physical therapy experience. They are a reliable and hardworking individual who thrives in a fast paced environment. They can easily shift priorities based on urgency, and have critical thinking and problem solving skills to support that. They are flexible, adaptable, and are able to negotiate with results to prove it.

    Therapy Scheduling coordinator responsibilities:

    • Accept new referrals on daily basis and create schedules based on the referral requirements.
    • Organize active patient schedules based on the priorities and requirements.
    • Manage, organize, and troubleshoot the patient and staffing logs every day.
    • Keep field staff availability updated and posted.
    • Keep the EMR system up to date.
    • Maintain excellent relationships with the clinicians.
    • Communicate with the nurses and patients and troubleshoot based on the situations.
    • Provide accurate information and updates to therapists for daily schedule.
    • Review and verify clinician visit notes for completeness, accuracy, and timely submission.
    • Ensure all documentation meets company policies and compliance standards before posting.
    • Match verified visit notes with scheduled visits to confirm services were performed as assigned.
    • Process and post approved visit documentation into payroll and billing systems according to established procedures.
    • Identify, investigate, and resolve discrepancies related to visit documentation, scheduling, payroll, or billing entries.
    • Communicate professionally with agencies, caregivers, schedulers, and supervisors to obtain missing or corrected information.
    • Maintain accurate and organized records of verified visits and payroll postings.
    • Perform other duties as assigned.

    Requirements:

    • Healthcare agency experience required, home health a plus
    • Relevant Bachelor's degree, or equivalent experience
