Title Specialist - Intake
Position Snapshot: Execute Title-specific intake work by ordering, receiving, indexing, and routing title products while ensuring timeliness, completeness, and accurate system documentation. This role serves as the upstream control point for Title Operations by managing vendor interactions, inbox flow, and intake accuracy so Initial and Update Review teams receive clean, timely inputs. This role does not perform title analysis, lien interpretation, legal risk assessment, or title review.

Reports To: Title Intake Ops Supervisor

Core Responsibilities
Applies to all Title role(s) in this category

Order initial title and title update products from approved vendors in accordance with jurisdictional and client requirements.
Monitor and manage Title in boxes and vendor communications to ensure timely receipt and response.
Receive, index, and route title products accurately within the case management system.
Validate receipt and administrative completeness of title products (correct product type, correct case, legibility, required attachments).
Route title products to the appropriate Title Review Team (Initial Review or Update Review) based on defined criteria.
Flag and escalate missing, delayed, incorrect, or misrouted title products promptly.
Maintain clean, defensible system documentation supporting intake timing, vendor follow-ups, and routing decisions.
Adhere to intake standards, playbooks, and escalation protocols to protect downstream deadlines and SLAs.
Identify recurring intake defects (vendor delays, product mismatches, indexing errors) and escalate trends for corrective action.

Skills & Qualifications
Required

Strong attention to detail and documentation discipline.
Ability to manage time?sensitive intake queues and competing priorities.
Clear, professional written communication with vendors and internal teams.
Comfort working in Title?specific workflows, inboxes, and case management systems.

Preferred

Experience supporting Title Operations, foreclosure workflows, or creditor?rights processes.
Familiarity with title product types, vendor ordering cycles, and jurisdictional nuances.
Exposure to process tracking, aging management, or intake QA controls.

Experience: 13+ years in Title intake, legal operations support, mortgage servicing, or a regulated processing environment requiring high accuracy and follow?through. Higher experience levels may be required for senior or vendor?coordination?heavy assignments.
