Overview:

The Trade Show Coordinator owns day to day operational execution while supporting the Lead's overall program direction. This role ensures logistics are organized, branded items reinforce Parkhill’s identity, and reporting drives improvement. The position oversees the pre-show planning, onsite execution, and post-show follow up for Parkhill’s growing trade show needs while also providing support to the Trade Show Lead.

Parkhill is one of the largest architectural and engineering firms in the Southwest with 16 offices located throughout Texas, New Mexico, and Oklahoma. 

Responsibilities:

Pre-Show Planning & Coordination

  • Leads trade show planning and coordination, aligning stakeholders on event objectives, staffing, responsibilities, and execution.
  • Manages booth selection, sponsorships, registrations, accommodations, budgets, timelines, and vendor requirements.
  • Coordinates exhibit logistics, including booth configuration, graphics, promotional materials, shipping, storage, freight, and installation/dismantling.
  • Develops and communicates event details, schedules, and logistics to attending staff.
  • Monitors deadlines and future opportunities to maximize visibility, control costs, and support successful event execution.

Onsite Event Operations

  • Leads onsite event operations, coordinating staff, vendors, booth setup, logistics, and issue resolution.
  • Oversees exhibit installation and dismantling to ensure an efficient, professional, and brand-consistent presence.
  • Provides onsite support for trade shows, conferences, meetings, and client events as needed.

Post-Show Management & Reporting

  • Manages post-event financial reconciliation, reporting, inventory, storage, and shipment of exhibit assets.
  • Partners with internal teams to capture relevant event and business development information in Parkhill’s CRM.
  • Evaluates event performance, stakeholder feedback, and expenditures to identify opportunities for continuous improvement and cost efficiency.
Qualifications:
  • Bachelor’s degree in Marketing, Communications, Event Management, or related field, or equivalent experience
  • 3–5 years of progressive experience managing corporate trade shows and events from planning through onsite execution and post-event reconciliation
  • Demonstrated ability to manage multiple concurrent events, complex timelines, vendors, stakeholders, budgets, and competing priorities
  • Strong financial acumen with experience developing budgets, monitoring expenditures, and identifying cost efficiencies
  • Proficiency in Microsoft Office; experience with project management and event management platforms preferred
  • Strong organizational skills, attention to detail, and ability to balance strategic objectives with operational execution
  • Service-minded, adaptable, and able to work effectively with internal teams, external vendors, and event participants
  • Ability to travel as needed for meetings, events, and trade shows, including occasional evenings and weekends.
