Job Description

Position Summary

Capital Area Transit System (CATS) is seeking a detail-oriented Transit Asset Coordinator to coordinate agency transit-asset inventories, condition information, documentation, and reporting used to support operations, capital planning, regulatory compliance, and lifecycle decision-making.

The Coordinator works across departments to maintain accurate and reliable records for vehicles, facilities, stops, shelters, equipment, technology, and other assigned assets. The position supports asset condition tracking, replacement planning, required reporting, data quality, and continuous improvement of asset-management processes.

Key Responsibilities
  • Maintain accurate inventories and records for assigned transit assets, including vehicles, facilities, stops, shelters, amenities, equipment, technology, and other asset classes.
  • Track asset identification, location, status, condition, useful life, warranty, replacement, and disposition information.
  • Coordinate periodic physical verification of assets and reconcile discrepancies between system records and actual inventory.
  • Support asset condition assessments and documentation of deficiencies.
  • Track planned replacement, rehabilitation, repair, and improvement needs.
  • Provide asset information to support capital planning, budgeting, grant development, and procurement activities.
  • Coordinate with Maintenance, Facilities, IT, Finance, Procurement, Transportation, and other departments regarding asset information and status.
  • Support Transit Asset Management (TAM) and other required asset-reporting processes.
  • Maintain organized source documentation and audit-ready asset records.
  • Prepare recurring asset reports, dashboards, inventories, and management summaries.
  • Monitor reporting deadlines, inspections, documentation requirements, and assigned corrective actions.
  • Establish and maintain standardized asset-data procedures, classifications, and naming conventions.
  • Identify missing, outdated, duplicate, or inconsistent asset information and coordinate corrections.
  • Analyze asset information and trends to identify lifecycle concerns and priority needs for management review.
  • Support coordination and integration of asset information across agency systems.
Minimum Qualifications
  • Minimum of two (2) years of experience in asset management, inventory control, fleet or facilities records, data management, capital planning, equipment/property records, accounting support, or a closely related administrative/data function.
  • Strong spreadsheet, database, documentation, reconciliation, and recordkeeping skills.
  • Demonstrated ability to maintain detailed records, identify discrepancies, and coordinate corrections.
  • Ability to organize and analyze data and prepare accurate reports and summaries.
  • Ability to coordinate information across multiple departments, systems, and asset owners.
  • Strong attention to detail, analytical, organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft Office applications, particularly Excel.
Preferred Qualifications
  • Associate or bachelor's degree in Business, Transportation, Asset Management, Engineering Technology, Public Administration, Data Analytics, or a related field.
  • Experience with public transit, fleet, facilities, infrastructure, equipment, or other physical-asset environments.
  • Knowledge of Transit Asset Management (TAM) principles and FTA asset-reporting requirements.
  • Experience with asset-management, fleet-management, inventory, work-order, GIS, or similar information systems.
  • Experience conducting or supporting physical inventories or asset condition assessments.
  • Experience supporting capital planning, budgeting, grants, procurement, or asset-replacement activities.
Additional Requirements
  • Ability to conduct physical verification and condition reviews of assets at agency facilities and field locations as necessary.
  • Ability to occasionally work outside normal business hours or outdoors as operational needs require.
