Hiring Transportation Clerk

Schedule: Thursday – Monday | 7:00 PM to Completion
Pay Rate: $18.00 per hour
Work Environment: Cold environment (food production facility) with on-site parking and easy highway access

Position Overview

We are seeking a detail-oriented and organized Transportation Clerk to support logistics and transportation operations. This role involves coordinating trailer movements, maintaining accurate inventory records, supporting drivers, and ensuring all transportation documentation and costs are properly tracked.

Key Responsibilities

1. Data Entry & Inventory Control

  • Maintain accurate inventory records in yard check (YC) system
  • Monitor trailer check-in/check-out and location movements
  • Track inventory levels and report shortages or overages
  • Ensure accuracy of all incoming and outgoing shipments

2. Trailer Inspections & Damage Tracking

  • Perform routine pre-trip and post-trip inspections
  • Identify, document, and report trailer damages (photos required)
  • Maintain detailed inspection records and follow up on repairs
  • Track trailer status (active, inactive, maintenance)
  • Ensure all safety and mechanical components are functioning properly

3. Communication & Driver Support

  • Communicate with drivers, warehouse staff, and management
  • Resolve delivery delays, discrepancies, and driver concerns
  • Provide routing instructions and dispatch updates
  • Assist with fuel tag issues, paperwork, and operational questions

4. Dispatch & Scheduling Coordination

  • Dispatch finished goods (FG) trailers
  • Confirm pick-up/delivery times with drivers and departments
  • Update daily schedules with ETD, ETA, drivers, and assigned loads
  • Coordinate yard and transfer drivers for night shift operations

5. Document Processing & Compliance

  • Provide drivers with dispatch paperwork
  • Ensure all delivery and pick-up documents are signed and complete
  • Upload and manage digital records of all documents
  • Follow up on missing or incomplete documentation

6. Cost Tracking & Reporting

  • Track transportation expenses (fuel, tolls, labor, rentals, etc.)
  • Verify vendor invoices against shipments and services
  • Identify discrepancies, duplicate charges, or overbilling
  • Match invoices with supporting documentation (BOLs, receipts, POs)
  • Maintain CPC reports including route data, pallets, detention, and costs
  • Support budgeting and cost analysis efforts

External Basic Qualifications:

Transportation Clerk Experience Required

  • Prior experience as a Transportation Clerk (REQUIRED)
  • Ability to work Thursday–Monday, 7 PM until completion
  • Ability to work 8+ hour shifts as needed
  • Ability to stand for extended periods
  • Ability to lift, push, and pull up to 50 lbs
  • Strong attention to detail and organizational skills


Preferred

  • High School Diploma or GED
  • 2+ years experience in warehouse or distribution environment
  • Experience with RF scanners and inventory systems
  • Experience operating material handling equipment
  • Familiarity with logistics software and data entry systems
