Primary Purpose:
Facilitate the effective operation of the Transportation Department by supporting the Secretary and the department with secretarial duties focused on safety, efficiency, and professionalism.
Qualifications:
Education/Certification:
- High School Diploma or GED
Special Knowledge/Skills:
- Proficient reading, writing, and verbal communication skills. (Bi-lingual preferred)
- Proficient computer skills used to develop spreadsheets, databases, perform word processing and generate reports using Microsoft Office including Excel, Word, and PowerPoint.
- Knowledge of human resources.
- Ability to learn and work with multiple transportation software programs.
- Ability to follow verbal and written instructions.
Experience:
- Three years of successful office experience.
Major Responsibilities and Duties
- Maintain positive cooperative relationships with transportation staff members, district and school administrators, schools, district departments and the community.
- Welcome and screen visitors and maintain sign in records.
- Receive telephone and email communication and take messages and forward as needed.
- Maintain a high level of confidentiality.
- Coordinate the scheduling of interviews and meetings.
- Process HR paperwork and coordinate hiring process for new employees.
- Maintain employee database information in different software locations.
- Maintain an orderly filing system for department employee related documentation.
- Maintain records regarding vehicles for accident claims.
- Initiate department work orders to the maintenance department.
- Report and maintain records regarding worker's compensation accidents.
- Coordinate CDL drivers drug testing program and maintain records and data base.
- Coordinate with the wellness center staff and doctors and maintain records related to Department of Transportation physical exams for CDL drivers.
- Assist with inquiries and/or concerns regarding transportation of students.
- Assist with payroll and bookkeeping when needed.
- Prepare correspondence, communications and reports and distribute as necessary.
- Ensure that incoming department mail is distributed as necessary.
- Maintain a notary certification in Texas and notarize official department documents as needed.
- Perform other duties as assigned.
- Compile the certification list which includes CDL expiration dates, birthdays, TDL numbers, department or school location, assignments and full names
- Compile information to run the Motor Vehicle Records on all drivers and coaches annually.
