Primary Purpose
To provide administrative support; store, retrieve, and integrate information for dissemination to staff and others; serve as information and communication manager for the department of transportation; organize and maintain paper and electronic files; manage projects. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
Qualifications
Education/Certification/Licensure
High school diploma or GED
Special Knowledge/Skills
Effective communication and interpersonal skills. Strong organizational and file management skills.
Ability to create spreadsheets, compose correspondence, manage databases, create presentations and statistical reports using desktop publishing software and digital graphics.
Expertise in Windows, Microsoft Office, email, and calendaring/scheduling systems. Working knowledge of SunGard and Kronos (preferred)
Analytical thinking and problem-solving skills.
Experience
Minimum of 3 years successful secretarial experience. CDL Certification with S and P endorsements. (preferred)
Major Responsibilities and Duties
- Manage hiring process of new employees, schedule interviews from HR applicant list.
- Prepare interview folders and set up interviews of applicants.
- Review applicants in TalentEd and make reference calls.
- Maintain a current and accurate roster of transportation employees.
- Prepare reports, correspondence, memos, forms, reports, agendas, meeting minutes, directories, etc. and proofreads for accuracy, completeness and conformity with established formats.
- Track all changes relating to personnel records due to hiring, transfers, terminations, and resignations.
- Communicate with benefits office and human resources regarding personnel.
- Receive accident reports, distribute to appropriate staff, and file in employee''s folder.
- Receive disciplinary reports and file in employee''s folder.
- Receive and maintain records of name changes, changes of address and telephone numbers; distribute forms to appropriate staff.
- Monitor budget transactions; prepare requisitions and budget transfers electronically, process invoices and payment.
- Oversee the maintenance and repair of office equipment.
- Responsible for managing workers compensation claims and reports.
- Operate as the liaison for the department with employee benefits.
- Reset passwords for all transportation employees when needed.
- Manage and track all transportation employee personnel files and district mandatory documents.
- Assist Payroll clerk with Kronos.
- Support the Director of Transportation, Asst. Director of Transportation Operations and Asst. Director of Transportation Fleet Services.
