About the Position:

This position leads and manages all transportation operations for the library system, ensuring the timely and efficient delivery of library materials and resources across all library and partner locations. The role is responsible for transportation scheduling, planning, budget development, hiring and supervision of the Transportation staff. Responsible for and manages all Transportation activities for all library and partner locations, and is responsible for the entire fleet management function.

Position Schedule

  • Monday - Friday - 8am-4:30pm
  • flexibility to respond to after-hours and weekend issues is required

What You'll Do:

  • Lead the Transportation division team in effective and efficient operations. Handle wide variety of tactical and operational details. Delegate tasks, field questions and gather data to prepare supporting communications and reports.

  • Communicate system initiatives to staff in a clear and supportive manner. Coordinate tactical plan objectives, deployment of resources, and cross-departmental coordination and communication with customers.

  • Supervises transportation team and sets individual performance measurements for staff and hold them accountable. Responsibilities include (but are not limited too) coaching, training, managing, hiring, orienting and evaluating. Assist with problem solving at local and system level. Counsel and interpret policies and procedures.

  • Develop and manage staffing schedules for the Transportation department. Ensure sufficient staffing levels to complete operational needs on a daily basis.

  • Use work order system to track work and evaluate metrics on a daily basis.

  • Monitor and manage Transportation budgets and expenditures and compiles various statistical analysis. Prepare requisitions for various purchases and monitor Purchase Orders status.

  • Oversee the prompt and accurate sorting of library materials to expedite their return and transfer to all library locations and appropriate destinations. Support efforts to optimize the flow of materials moving through the system.

  • Continuously evaluate sorting operations, identify and implement process improvements. Maintain statistical information and analyzes trends.

  • Analyze and report vehicle operating costs. Plan and schedule use of library vehicles, routes and drivers to ensure accurate, efficient, and timely delivery of library materials. Coordinate with other departments/divisions to provide support for the delivery of equipment for special projects.

  • Oversee the procurement, maintenance, appearance and repair of library vehicles. Manage maintenance and repairs to minimize vehicle down time and ensure reliability. Responsible for troubleshooting and making preventative maintenance recommendations regarding vehicles. Manges the fuel suppliers ensuring cost effective and accessible fuel sources. Develop vehicle specifications and make lease/purchase recommendations. Responsible for maintaining historical vehicle records and use information to make replacement recommendations.

  • Ensure that the library complies with all state and federal laws regarding licensing. Oversee issuance of insurance cards for library vehicles and work with the various police departments, vendors, and the Finance Department to resolve vehicle accidents. Schedule and coordinate driving classes for library staff.

  • Coordinate transportation of materials for Friends of the Library, special events, and surplus equipment as required.

  • Serve as liaison between the library and partner libraries for delivery function.

  • Oversee Warehouse and Asset Management, including the transport, storage and disposition of the surplus library inventory (furniture, equipment etc.). Manage the disposal of surplus furniture and equipment in a manner consistent with Board Policy.

  • Perform additional duties as assigned including serving on task forces, committees, etc.

Minimum Qualifications:

  • High School Diploma or G.E.D. required; Bachelor's degree in relevant field preferred.

  • 5+ years of experience in fleet management operations, fleet scheduling, delivering materials, and/or maintaining vehicles. Prefer 3-5 years' supervisory experience.

  • Demonstrated skill in operating a large motor vehicle (road test may be required).

  • Ability to work a flexible schedule when required to provide optimum services for libraries.

  • Knowledge of state, federal and local laws relating to the transportation of materials and proper registration and maintenance of vehicles.

  • Demonstrated ability to organize, prioritize, and coordinate multiple transportation activities, and schedules in a fast-paced environment.

  • Strong planning and time-management skills with the ability to anticipate operational needs, allocate resources effectively, analyze data and meet deadlines.

  • Excellent verbal and written communication skills with the ability to communicate clearly and professionally with staff, leadership, vendors, and internal partners.

  • Ability to build collaborative relationships across departments and effectively coordinate transportation services to support organizational needs.

  • Ability to operate library technology including personal computer, email, software programs (i.e. Windows/Microsoft Office) and other job-related equipment and systems.

  • Ability to utilize reliable transportation to promptly report to job assignment and other locations, per job requirements. Valid driver license which meets the minimum requirements of CML's vehicle insurance policy.

The work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, libraries, and residences or commercial vehicles (e.g., use of safe workplace practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, and/or working in moderate outdoor weather conditions).

Work requires occasional lifting or pushing of up to 100 lbs. and the frequent lifting or pushing of up to 50 lbs.
