The main purpose of this position is to support the academic and administrative work of the John W. Rawlings School of Divinity (RSOD). This position will be responsible for planning, coordinating, and executing events and travel arrangements, ensuring a seamless and enjoyable experience for all participants.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Plan and coordinate events, including conferences, meetings, and corporate functions.
  • Manage all aspects of event logistics, including venue selection, catering, transportation, and accommodations.
  • Develop and maintain event budgets, ensuring cost-effective solutions.
  • Coordinate travel arrangements for employees and guests, including flights, accommodations, and transportation.
  • Communicate with vendors, suppliers, and stakeholders to ensure all event and travel needs are met.
  • Create and distribute event materials, such as agendas, invitations, and itineraries.
  • Provide on-site support during events to ensure smooth execution.
  • Handle post-event tasks, including feedback collection and reporting
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position will interact with individuals/entities outside the company when coordinating travel & events with those outside the University.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

  • Proven experience in event planning and travel coordination.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event management software.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Attention to detail and problem-solving skills.
  • Minimum of bachelor's degree
  • Minimum of 1 year of experience in related-field

Preferred Qualifications and Skills:

  • Certification in Event Planning or Travel Coordination.
  • Experience with international travel arrangements.
  • Knowledge of current trends in event planning and travel management.

WORKING CONDITIONS

Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting. It is well lighted and the noise level is moderate.

Driving Requirements

Use of one’s personal vehicle (or LU vehicles) is required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required.

Pay Range

Compensation is determined based on factors such as qualifications, experience, education, skills, and certifications, along with University needs and external market conditions. Market benchmarks may be used, as appropriate, in combination with internal equity to ensure pay is fair and aligned with the broader compensation structure.


The position may also be eligible for comprehensive benefits, including health insurance, retirement plans, and tuition assistance.

 

 

$44,000.00 - $50,000.00
