Clinical Coordinator, Radiography Job Summary The Clinical Coordinator is responsible for the organization, administration, evaluation, and ongoing development of the clinical education component of the Radiography Program. Working under the direction of the Program Director, the Clinical Coordinator ensures that clinical instruction is delivered in compliance with JRCERT Standards, applicable state regulations, and the program s established policies and procedures. This position manages the full scope of student clinical experiences, including clinical site recruitment, affiliation agreements, student assignments, competency evaluations, preceptor development, and ongoing communication with clinical education settings and their staff. The Clinical Coordinator may also participate in didactic or laboratory instruction as assigned. Key Responsibilities Clinical Site Management - Recruit, establish, and maintain clinical education affiliates that provide students with a broad range of clinical competency experiences consistent with JRCERT Standards and program learning outcomes. - Ensure all clinical settings are formally recognized by JRCERT before students are assigned. - Maintain current clinical site recognition status through the JRCERT AMS. - Initiate, execute, and maintain current affiliation agreements with clinical education sites in coordination with the Program Director. - Conduct regular site visits to evaluate the quality and safety of clinical education environments, available equipment, and preceptor performance. - Verify that student-to-radiographic equipment ratios meet the JRCERT minimum standard of 1:1 at each assigned site. - Monitor and manage the number of students assigned to each site based on available staff and physical resources. Preceptor and Clinical Staff Development - Identify, orient, and document clinical preceptors at each recognized clinical setting. - Ensure a minimum of one qualified preceptor is available at each site. - Provide orientation to new preceptors and part-time clinical faculty regarding supervision policies, competency evaluation procedures, student learning outcomes, and applicable JRCERT requirements. - Monitor preceptor performance through student feedback, site visits, and direct communication. - Provide constructive feedback and address performance concerns as needed. - Maintain documentation of preceptor appointments and qualifications in the JRCERT AMS within required timelines. Student Scheduling and Assignment - Develop and distribute clinical rotation schedules for all students. - Account for program sequencing, site capacity, and equitable learning opportunities across the student cohort. - Assign students to clinical sites based on program goals, site capabilities, and individual student learning needs. - Ensure students are scheduled for appropriate hours and rotate through a variety of imaging environments consistent with JRCERT competency requirements. - Verify that students have completed all required site prerequisites before clinical assignment, including immunizations, background checks, health clearances, and facility-specific orientation requirements. - Accommodate schedule adjustments while maintaining equitable and educationally sound clinical experiences. Student Supervision and Competency Evaluation - Enforce the program s supervision policies. Students must be directly supervised by a qualified ARRT-certified radiographer for radiographic procedures until competency has been demonstrated. - Implement and maintain the program s competency-based clinical evaluation system. - Ensure competency evaluations are completed accurately and on schedule. - Review and validate competency documentation submitted by clinical preceptors and students. - Identify and resolve discrepancies in competency documentation. - Evaluate student clinical performance using objective, equitable, and documented criteria. - Assign clinical course grades in accordance with program policy. - Monitor student clinical progress throughout the program. - Identify students who may be at risk and intervene early with documented improvement or remediation plans. - Counsel students experiencing clinical difficulties in collaboration with the Program Director. - Participate in formal disciplinary or dismissal processes as required. Curriculum Alignment and Accreditation Support - Ensure the clinical curriculum is integrated with and reinforces the program s didactic coursework. - Participate in outcomes assessment processes related to clinical education. - Analyze clinical competency pass rates and employer or graduate survey data. - Contribute to JRCERT accreditation documentation and self-study reports as directed by the Program Director. - Participate in program advisory committee and assessment committee meetings. - Maintain records of committee participation. - Teach assigned didactic or laboratory courses in accordance with institutional policy and program needs. Administrative and Compliance Responsibilities - Maintain a current master clinical assignment file documenting student rotations, site assignments, and competency records. - Communicate applicable radiation safety policies to students before their initial clinical assignment. - Provide information regarding dosimeter distribution, threshold dose protocols, and pregnancy declaration procedures. - Maintain working knowledge of program policies, student handbook provisions, and clinical education requirements. - Inform students and clinical staff of policy and procedural updates. - Prepare and distribute clinical documentation packets for students, preceptors, and clinical sites at the beginning of each term. - Coordinate with the Program Director to ensure continuity of clinical education operations when the Clinical Coordinator is unavailable. Required Qualifications - Bachelor s degree in a related area or equivalent experience and training. - Minimum of five years of experience in radiologic technology. - At least two years of experience working in an educational setting. - Minimum of two years of full-time clinical experience in radiography following initial ARRT certification. - Graduate of a radiography program accredited by JRCERT or an equivalent accrediting body recognized by the U.S. Department of Education. - Current state radiologic technology license. - Current, unrestricted ARRT certification and registration in Radiography, R(R). - Current BLS or CPR certification for healthcare providers. - Strong knowledge of accreditation standards and regulatory requirements. - Working knowledge of JRCERT Standards related to clinical education, including site recognition, preceptor qualifications, student supervision ratios, and competency requirements. - Clinical practice knowledge and applied experience in radiologic technology. - Knowledge of medical center, human resources, UC policies, and applicable external regulations. - Leadership skills related to employee supervision and administration. - Conflict resolution skills and the ability to counsel staff and students. - Ability to manage multiple priorities in a complex environment. - Strong organizational skills and attention to detail. - Ability to improve radiology processes, protocols, databases, and technology. - Strong interpersonal and relationship-building skills. - Proven analytical and problem-solving skills. - Sound judgment when managing student clinical, behavioral, or safety concerns. - Strong verbal and written communication skills. - Proficiency with documentation, record-keeping, and standard institutional or clinical tracking software. - Ability to maintain flexible availability, including occasional early mornings, evenings, weekends, and off-campus site visits. - Valid driver s license and reliable personal transportation when travel between clinical sites is required. Preferred Qualifications - Master s degree in radiologic science, education, or a health-related field. - PhD in a related area. - Prior experience as a clinical coordinator or assistant clinical coordinator in a JRCERT-accredited program. - Experience with clinical competency assessment instruments. - Experience managing affiliation agreement processes. - Experience with learning management systems and electronic clinical tracking platforms. - Additional ARRT credentials, such as Computed Tomography. - Sonography credentials through ARDMS. - Active membership in the American Society of Radiologic Technologists and a state affiliate society. Work Environment and Physical Requirements This position involves a combination of office-based administrative duties and travel to affiliated clinical education settings. The Clinical Coordinator must be able to access all areas of clinical facilities used by students, including radiology suites, procedural rooms, and associated support areas. Occasional irregular hours may be required to accommodate clinical schedules or site visit needs. The employee must be able to meet physical and health clearance requirements imposed by affiliated clinical sites.
