Job Title: Owner"s Rep- Level 1 / Field Contract Coordinator (Associate, 0-5 Years)

Job Description

This entry-level project management and field coordination role supports the successful execution of construction and renewable energy projects from planning through completion. The position assists with overall project management to ensure work is delivered safely, on schedule, within budget, and in accordance with design and quality standards. You will work closely with project managers, contractors, vendors, and a wide range of stakeholders to coordinate activities, manage schedules and documentation, monitor performance, and help resolve issues in the field and office.

Responsibilities

  • Assist in the overall management of assigned projects to ensure compliance with budget, schedule, safety, and quality goals.
  • Support construction activities performed by contractors and vendors at project sites, monitoring productivity, schedule adherence, work quality, and safety performance.
  • Participate in walkdowns of planned work, validate acceptance of completed work against design requirements, and review contractor payment requests.
  • Verify constructability of planned work, ensure proper resource allocation, assess field status, and help resolve technical and operational issues as they arise.
  • Coordinate project activities with vendors, suppliers, regulatory agencies, local community officials, and internal project teams.
  • Assist in scope control, budget oversight, performance reporting, scheduling, and work-in-progress tracking for assigned projects.
  • Interface with landowners, local regulators, and state agencies to support project permitting, access, and ongoing communication.
  • Reinforce expectations related to safety, procedural compliance, lessons learned, corrective actions, and appropriate work behaviors for employees and contractor staff.
  • Coordinate activities or groups involved in safety programs, engineering, construction, budget analytics, and contract administration.
  • Interface with the project's designated management committee, providing updates and supporting decision-making.
  • Support contract management activities and validate project execution against defined work scopes.
  • Build, maintain, and update project schedules in Smartsheet and other project management tools.
  • Engage with outside vendors to determine material availability, delivery timelines, and execution schedules.
  • Analyze key performance metrics, financial data, and operational trends to support strategic and tactical project decisions.
  • Work closely with project managers to create comprehensive action plans covering resources, budgets, and timeframes.
  • Participate in project design meetings and propose improvements to plans, processes, or execution strategies when appropriate.
  • Evaluate potential problems and technical issues, and contribute to developing practical solutions and mitigation plans.
  • Plan and manage team goals, project schedules, and dissemination of new information to keep all stakeholders aligned.
  • Supervise current project activities at a coordination level and help ensure all team members remain on track with workflow and deadlines.
  • Manage project-related paperwork by ensuring all necessary materials and records are current, properly filed, and securely stored.
  • Direct project correspondence by preparing and reviewing project proposals, memoranda, meeting minutes, and emails.
  • Communicate with clients and stakeholders to identify and define project requirements, scope, and objectives.
  • Monitor project expenses, support adherence to budget, and help implement cost-saving measures where feasible.
  • Travel to sites to assist with initial catastrophic turbine assessments, typically in the range of 5-10% of time for these specific activities.
  • Perform other job-related duties as assigned to support the successful delivery of renewable and construction projects.

Essential Skills

  • 0-5 years of experience managing project execution, including coordination with vendors and contractors.
  • Associate's degree in Engineering, Project Management, Land Surveying, or a related field.
  • Demonstrated experience in project management within construction or renewable energy environments.
  • Ability to support and coordinate construction work performed by contractors and vendors at project sites.
  • Strong organizational skills with the ability to manage multiple tasks, schedules, and documentation simultaneously.
  • Familiarity with project management tools, including Smartsheet and Microsoft Project.
  • Proficiency with Microsoft Office products, including Excel, Word, and PowerPoint.
  • Excellent communication skills, with the ability to interact effectively with project managers, team members, vendors, regulators, and landowners.
  • Strong interpersonal skills capable of building and maintaining productive working relationships.
  • Excellent analytical and problem-solving abilities to evaluate issues and contribute to effective solutions.
  • Ability to interpret and analyze key performance metrics, financial data, and operational trends.
  • Team management and leadership capabilities appropriate to a coordination-level role.
  • Attention to detail, even under pressure, ensuring accuracy in schedules, documentation, and reporting.
  • Effective time management skills with the ability to meet deadlines and maintain project momentum.
  • Ability to reinforce safety expectations and support compliance with procedures and standards.
  • Willingness and ability to travel to project sites as required, up to approximately 25% of the time.

Additional Skills & Qualifications

  • PMP (Project Management Professional) certification preferred.
  • Experience in the construction and renewables sector, ideally including wind, solar, or battery energy storage systems (BESS).
  • Experience participating in project design meetings and recommending improvements to plans and processes.
  • Experience managing project-related paperwork and documentation, ensuring records are current and properly stored.
  • Experience preparing and reviewing project proposals, memoranda, meeting minutes, and professional correspondence.
  • Knowledge of SAP or similar enterprise resource planning systems.
  • Experience coordinating with regulatory agencies, local community officials, and state-level stakeholders.
  • Exposure to safety programs and an understanding of best practices in construction and renewable energy environments.
  • Ability to support catastrophic turbine assessments and other specialized field evaluations as needed.

Work Environment

This role is primarily office-based with regular collaboration across engineering, construction, safety, budget analytics, and contract administration teams. The position involves working with project management software such as Smartsheet and Microsoft Project, and productivity tools including Microsoft Excel, Word, and PowerPoint, as well as enterprise systems like SAP. You will communicate frequently with vendors, contractors, regulators, landowners, and internal stakeholders to coordinate project activities and resolve issues. Travel to renewable energy and construction sites is required on an as-needed basis, typically up to approximately 25% of the time, including occasional trips for initial catastrophic turbine assessments. Field visits may involve exposure to active construction and operational renewable facilities, where adherence to safety protocols and appropriate site attire is expected.

Pay and Benefits

The pay range for this position is $35.00 - $40.00/hr.
