Position Summary

Ross Local School District is seeking a highly organized, detail-oriented, and customer-focused Treasurer''s Assistant to manage the district''s accounts payable, accounts receivable, and/or have payroll experience while providing administrative support to the Treasurer''s Office. This position plays a critical role in ensuring the timely and accurate processing of financial transactions, maintaining compliance with Ohio school finance regulations, and providing outstanding service to district staff and vendors.

The successful candidate will demonstrate integrity, confidentiality, professionalism, and a commitment to supporting the educational mission of Ross Local Schools. The position aligns with the responsibilities commonly performed in Ohio school district treasurer offices.

Essential Duties and Responsibilities

Accounts Payable

  • Review invoices for accuracy, completeness, and proper approvals.
  • Match invoices with purchase orders and receiving documentation.
  • Process vendor invoices using the Uniform School Accounting System (USAS) or successor financial software.
  • Prepare weekly and monthly accounts payable payment runs.
  • Process electronic payments, ACH transactions, and checks.
  • Maintain vendor records, including W-9 documentation and payment information.
  • Respond to vendor payment inquiries professionally and promptly.
  • Reconcile vendor statements and resolve discrepancies.
  • Monitor outstanding purchase orders and assist staff with purchasing procedures.
  • Maintain accurate electronic and paper accounts payable files.

Financial Support

  • Assist with monthly bank reconciliations and financial reports.
  • Prepare financial spreadsheets and reports using Microsoft Excel.
  • Process receipts and deposits as assigned.
  • Assist with year-end closing activities.
  • Support annual financial audits by providing requested documentation.
  • Maintain records in accordance with Ohio records retention requirements.

Administrative Support

  • Provide administrative assistance to the Treasurer/CFO.
  • Answer phones and assist staff, vendors, and community members.
  • Prepare correspondence, reports, and presentations.
  • Schedule meetings and maintain office calendars as needed.
  • Maintain confidential employee and financial information.
  • Assist with board meeting financial documentation when requested.

Compliance

  • Ensure compliance with Ohio Revised Code, Auditor of State requirements, and district purchasing policies.
  • Maintain confidentiality of all financial and personnel information.
  • Participate in professional development related to school finance and accounting.
  • Perform other duties as assigned by the Treasurer/CFO.

Qualifications

Required

  • High school diploma or equivalent.
  • Three years of progressively responsible office, bookkeeping, accounting, or finance experience.
  • Strong proficiency in Microsoft Excel, Word, Google Workspace, and office technology.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain strict confidentiality.
  • Ability to work independently while contributing as a member of a collaborative team.

Preferred

  • Associate''s or Bachelor''s degree in Accounting, Business Administration, Finance, or related field.
  • Experience in public school finance or governmental accounting.
  • Working knowledge of Ohio school accounting procedures.
  • Experience with USAS, USPS, SCView, or related Ohio school financial software.
  • Experience with electronic purchasing and accounts payable systems.

  • Twelve-month position located in the District Office.
  • Standard office environment with occasional interruptions.
  • Regular interaction with district employees, vendors, auditors, and the public.
  • Additional hours may occasionally be required during fiscal year-end, audits, or reporting deadlines.

$20.86/hr - $36.38/hr based on prior experience and qualifications

260 day/yr contract
