Description
Position Summary
The Truck Services Data Entry Specialist provides accurate, timely administrative and data management support to LV Petroleum's Truck Services department. This entry-level position enters, maintains, validates, and reports operational information while coordinating with field locations, vendors, and corporate partners. Success requires strong attention to detail, dependable follow-through, and intermediate Microsoft Excel skills.
Key Responsibilities
Enter and maintain Truck Services operational data accurately and on schedule.
Process and organize work orders, service records, invoices, maintenance documentation, and related records.
Validate information for completeness and accuracy before entry into company systems.
Update databases, trackers, and spreadsheets; identify and resolve routine discrepancies.
Create and maintain Excel reports using formulas, sorting, filtering, conditional formatting, data validation, and pivot tables.
Compile service, maintenance, inventory, and other operational data for routine reporting.
Reconcile information across multiple data sources and escalate unresolved inconsistencies.
Maintain orderly electronic and physical files and support audit-ready documentation.
Communicate professionally with Truck Services locations regarding missing, incomplete, or inaccurate information.
Provide responsive administrative support to Truck Services leadership and assist with special projects.
Protect confidential company, employee, vendor, and operational information.
Partner effectively with Accounting, Finance, Operations, and other corporate departments.
Requirements
Qualifications
High school diploma or GED required.
Entry-level candidates are encouraged to apply; prior administrative, clerical, customer service, or data entry experience is preferred.
Intermediate proficiency in Microsoft Excel is required.
Strong accuracy, organization, follow-through, and time-management skills.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Clear written and verbal communication skills.
Working knowledge of Microsoft Outlook and Word preferred.
Experience with operational, maintenance, service, ERP, or data management systems is a plus.
Required Intermediate Excel Skills
Create and maintain organized spreadsheets and structured data tables.
Use formulas and functions including SUM, AVERAGE, IF, COUNTIF, VLOOKUP, and XLOOKUP.
Sort and filter large datasets and apply conditional formatting and data validation.
Create and update pivot tables and basic charts for operational reporting.
Import, clean, compare, and reconcile information from multiple sources.
Troubleshoot common spreadsheet errors while protecting data accuracy.
Physical Requirements
Prolonged periods of sitting and working at a computer.
Ability to view computer screens and perform keyboard-based work for extended periods.
Ability to occasionally lift up to 20 pounds.
