JOB SUMMARY:
The Trust & Estate Planning Associate is responsible for supporting the Chief Fiduciary Counsel in the development, implementation, and maintenance of trust, estate, wealth transfer, and business succession planning strategies for Family Office clients. This role assists with the preparation and coordination of estate planning documents, client communications, workflow management, and implementation of planning recommendations. This role works closely with clients, attorneys, accountants, and other professional advisors to ensure planning matters are completed accurately, efficiently, and in accordance with client objectives. Consistently gains the confidence and trust of others through honesty, integrity, and authenticity.

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Draft and edit estate planning documents, including wills, revocable and irrevocable trusts, powers of attorney, health care directives, deeds, assignments, promissory notes, beneficiary designations, and related planning documents.
  • Assist with the development and implementation of trust, estate, wealth transfer, and business succession planning strategies.
  • Prepare estate planning flowcharts, family relationship diagrams, entity ownership charts, wealth transfer illustrations, and related planning materials.
  • Organize and manage trust and estate planning workflows, project timelines, implementation tasks, and planning deliverables.
  • Coordinate document execution and track implementation timelines and planning deliverables.
  • Communicate with clients and advisors to gather information and required documentation.
  • Maintain organized client files and ensure accuracy, completeness, and confidentiality of records.
  • Conduct trust, estate, fiduciary, tax, and legal research to support planning engagements.
  • Assist with real estate transfers, document recording, and entity formation matters.
  • Support the maintenance of corporate entities and family-owned business records.
  • Monitor project deadlines and follow up on outstanding action items to ensure timely implementation of planning recommendations.
  • Coordinate with attorneys, accountants, trustees, and other professional advisors regarding planning matters and implementation activities.
  • Assist in the administration and coordination of complex Family Office client engagements.
  • Escalate issues, implementation challenges, and planning delays to the Chief Fiduciary Counsel, as appropriate.
  • Provide technical and administrative support across trust, estate, fiduciary, business entity, and Family Office matters.
  • May be assigned additional projects, cross-functional responsibilities, administrative duties, training activities, process improvement initiatives, or other tasks that support the goals and operational needs of Wealth
  • Adheres to Seacoast Bank's Code of Conduct.

 EDUCATION and/or EXPERIENCE:

  • Completion of an accredited paralegal program, Florida Registered Paralegal designation, or equivalent combination of education and experience.
  • Juris Doctor (J.D.) degree preferred.
  • Licensed Attorney and member in good standing with The Florida Bar preferred.
  • Minimum of (3) years of experience in trust and estate planning, estate administration, trust services, family office, law firm, or related environment.
  • Experience drafting estate planning documents and familiarity with Florida trust and estate planning procedures preferred.
  • Strong understanding of fiduciary principles, trust administration, estate planning, and wealth transfer strategies.
  • Excellent written and verbal communication skills.
  • Strong organizational, analytical, and critical-thinking abilities.
  • Exceptional attention to detail and ability to manage multiple priorities.
  • Ability to maintain confidentiality and exercise sound professional judgment.
  • Proficiency with Microsoft Office products and legal document management systems.
