Key Responsibilities:
  • Draft essential estate planning, probate, and trust administration documents.
  • Assist with advanced estate planning and funding documentation.
  • Provide comprehensive support to multiple attorneys within the Trusts & Estates practice.
  • Maintain knowledge of the procedural rules governing probate, trusts, and estate administration.
  • Calculate, track, and manage all legal and procedural deadlines.
  • File documents electronically and through traditional court systems in accordance with local requirements.
  • Coordinate attorney calendars, client meetings, and court?related scheduling.
  • Organize and maintain digital and physical case files.
  • Assist with billing processes, including time entry, invoice revisions, and expense monitoring.
  • Communicate professionally with clients, attorneys, courts, and internal departments.
  • Support business development activities, including event coordination and professional outreach.
  • Manage multiple tasks in a fast-paced environment with strong follow-through.
Requirements:
  • Associate degree or equivalent relevant experience.
  • Minimum of 5 years of Trust & Estates Paralegal experience, preferably in a mid-to-large Florida law firm.
  • Florida probate experience preferred.
  • Ability to support multiple attorneys simultaneously.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Professional, compassionate, and client-centered demeanor.
  • Ability to manage competing priorities and deadlines.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Experience with law firm case management and billing software.
  • Knowledge of iManage, Smart Time, Aderant, WealthCounsel, EstateWorks, or HotDocs is a plus.
  • On-site attendance required.
