The Utilities Project Coordinator supports utility projects by managing project documentation, coordinating activities, and maintaining accurate records for gas, water, or electric initiatives. This role requires strong communication skills, proficiency with Microsoft Office applications, and prior experience in project administration or coordination. The coordinator plays a key role in ensuring that project information is accurate, organized, and delivered on time while collaborating with internal teams and external stakeholders.

Responsibilities

  • Coordinate day-to-day project activities for utility-related projects, ensuring tasks are completed on time and in line with project requirements.
  • Perform project administration and coordination duties, including scheduling, tracking progress, and supporting project timelines.
  • Maintain accurate project documentation and perform document control activities, such as organizing, updating, and archiving project files.
  • Enter and update data in project systems and spreadsheets to ensure information is current, accurate, and easily accessible.
  • Use Microsoft Excel, Word, and other Microsoft Office applications to prepare reports, track project metrics, and support project documentation.
  • Collaborate with engineering and project teams to gather information, clarify requirements, and support project execution.
  • Communicate clearly and professionally with internal teams and, when needed, with client representatives to relay updates and resolve basic issues.
  • Support utilities-related work (gas, water, or electric) by coordinating information flow between project stakeholders.
  • Visit client offices as needed to support project coordination, documentation, and communication on-site.

Essential Skills

  • Minimum of 1-2 years of experience performing project administration or project coordination duties.
  • Demonstrated project coordination skills, including organizing tasks, managing timelines, and supporting project teams.
  • Proficiency with Microsoft Suite, including Microsoft Office, Excel, and Word.
  • Strong data entry skills with high attention to detail and accuracy.
  • Experience with document control, including organizing, maintaining, and updating project documents.
  • Strong verbal and written communication skills to interact effectively with team members and stakeholders.
  • Ability to work in an office environment five days a week and travel locally to client offices as needed.

Additional Skills & Qualifications

  • Experience working with utilities such as gas, water, or electric is a strong plus.
  • Background supporting engineering or technical project teams is beneficial.
  • Bilingual communication skills are preferred and considered an asset.
  • Experience using SAP or similar enterprise systems is a plus.

Work Environment

This role is based in an office environment and requires working on-site five days a week. The position supports a large utility organization on a long-term engagement associated with a new five-year contract, providing exposure to complex gas, water, or electric projects. The coordinator will primarily work with computers and standard office technology, using Microsoft Office tools and other project systems to manage documentation and data. The role may also involve occasional visits to client offices, requiring comfort with professional in-person interactions and a business-appropriate appearance.

Job Type & Location

This is a Contract to Hire position based out of San Antonio, TX.

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
