QUALIFICATIONS
  • High School diploma or equivalent required
  • Prior experience in events, hospitality, customer service, or venue operations preferred
  • Experience with IT and bartending a plus
  • Strong written and verbal communication skills (email communication required)
  • Maintain a professional demeanor and provide courteous service both externally and internally
  • Strong organizational and time-management skills
  • Ability and willingness to do a wide variety of tasks and learn new skills
  • Reliability – This role requires dependable attendance and punctuality to support scheduled events and operations
  • Ability to follow written and verbal communications/instruction and work independently or as a team following those directions
  • All skill sets are not required, we encourage interested candidates to apply
  • Work may require using a company vehicle. Candidate must have or be able to obtain a valid AZ Driver’s License and have an excellent driving record

Schedule & Availability Requirements/Physical Requirements

  • Availability to work weekdays, weekends, and evenings/nights based on event schedules
  • Flexible schedule required, including on-call hours for events and tours
  • Ability to work extended hours during event days
  • Ability to lift and carry up to 40–50 lb
  • Ability to stand and walk for extended periods
  • Ability to work indoors and outdoors in varying weather conditions
  • Ability to give tours throughout campus on uneven terrain and up hills
RESPONSIBILITIES

Client Communication & Sales Support

  • Respond to client inquiries via email and phone in a timely and professional manner
  • Provide accurate information regarding venue availability, pricing, policies, and services
  • Schedule and conduct venue tours for prospective clients
  • Follow up with potential clients after tours and inquiries as directed by the Venue Manager
  • Maintain professional and friendly communication with clients throughout the planning process
  • Act as a representative of Lowell Observatory during events, with the authority to address issues, enforce venue policies and escalate concerns to the Venue Manager as needed


Event Support (On-Site)

  • Be on-site during events to assist with execution and ensure venue policies are followed
  • Assist with event setup and breakdown, including tables, chairs, decor, signage and layout adjustments as needed before, during and after events
  • Greet clients, vendors, and guests upon arrival and provide general assistance
  • Help monitor event timelines and communicate any issues to the Venue Manager
  • Cleaning after events, or other duties as assigned
  • Assist with problem-solving during events to ensure a smooth guest experience
  • May receive required training to assist with alcohol service at select events, in compliance with state and local regulations
  • May receive training to assist with telescope operations and guest engagement at astronomy-related events, as needed

Venue Operations

  • Conduct pre-event and post-event walk-throughs with clients or staff
  • Ensure the venue is clean, organized, and event-ready before and after events
  • Monitor restrooms, trash, and general cleanliness during events
  • Assist with basic venue maintenance and organization tasks
    Perform other duties as assigned to support venue and event operations


Vendor & Guest Relations

  • Serve as a point of contact for vendors during events when the Venue Manager is unavailable
  • Ensure vendors comply with venue rules, timelines, and designated areas
  • Provide professional customer service to clients, guests, and vendors
  • Role serves as a representative of Lowell Observatory during events and client interactions, professionalism and being a representative of the organization’s mission and values is expected 
     

Administrative & Support Duties

  • Assist with tracking venue inventory (tables, chairs, linens, decor)
  • Document any damages, incidents, or concerns during events
  • Support the Venue Manager with general administrative tasks as needed
  • Additional Duties as assigned
