Seeking Experienced Full-Time Veterinary Client Service Representative to join our team Spruce Hill Veterinary Clinic

  • Location: Spruce Hill Veterinary Clinic located at 4 Plumtree Rd, Springfield, MA 01118
  • Hospital hours: 
    • Monday, Wednesday, Friday: 9:00 am to 5:00 pm
    • Tuesday and Thursday: 9:00 am to 8:00 pm
    • Saturday and Sunday: Closed
      • *Potential to open on Saturdays in the future
  • Schedule: Full-Time ~30 hours per week, flexible schedule options available but required one evening shift until 8pm
  • Compensation:
  • Starting at $18.00 per hour and commensurate with experience

Spruce Hill Veterinary Clinic is seeking a compassionate, professional, and customer-focused Client Service Representative (CSR) to join our growing team full-time! This position is ideal for someone who enjoys building relationships, helping people and their pets, and being an integral part of a collaborative veterinary team.

Job Duties/Responsibilities

As a Client Service Representative, you will serve as the first and last point of contact for our clients and help create a positive experience from the moment they walk through our doors.

Client Interaction & Communication

  • Welcome clients and patients warmly and professionally
  • Answer incoming phone calls and assist with scheduling appointments
  • Provide information regarding hospital services and policies
  • Communicate effectively with veterinarians, technicians, and support staff
  • Support clients with compassion during both routine and emotional visits

Appointment Coordination

  • Schedule appointments, surgeries, and procedures
  • Confirm appointments and communicate schedule updates
  • Help maintain efficient daily hospital workflow

Check-In & Check-Out Procedures

  • Verify patient and client information
  • Process payments accurately
  • Review invoices and answer client questions
  • Schedule follow-up appointments and coordinate future visits

Administrative Responsibilities

  • Maintain accurate patient and client records
  • Manage emails, texts, and client communications
  • Assist with filing, scanning, and data entry
  • Utilize veterinary practice management software

Client Education & Support

  • Assist clients with forms and paperwork
  • Provide basic preventive care information as directed
  • Help facilitate communication between clients and the medical team

Who We're Looking For

Preferred Qualifications

  • Previous veterinary receptionist or Client Service Representative experience
  • Previous customer service experience in veterinary medicine, healthcare, hospitality, or a related field
  • Knowledge of veterinary terminology is a plus
  • Experience with veterinary software systems is preferred but not required

Compensation + Benefits:

Compensation: Starting at $18.00 per hour and commensurate with experience

    • For Non-Birth Parent(s): 6 weeks of paid leave at 100%, fully covered by VIP.
