Job Title:  Virtual Care Coordinator 

Reports To:  Director of Care Coordinators 

Employment Status:  Full-time, Remote

Virtual Care Coordinator Position Summary: 
Overall job responsibilities include checking patients in and out, collecting copays, going over insurance benefits, and scheduling follow up appointments as needed You will work with internal teams of Care Coordinators to assist with customer service and scheduling efforts and coverage needed at other clinics Candidate will work closely with and report to Director of Care Coordinators. 

 

What Does This Mean?: 

  • The Virtual Care Coordinator will not replace current Care Coordinators – they will assist with staffing shortages and coverage as needed 
  • The Virtual Care Coordinator will be the face of the kiosk in the waiting room for patients to check in 
  • This Care Coordinator will be able to assist multiple clinics with the check-in process (depending on the clinic size) 
  • Assist with various front office duties such as reminder calls, POC reports, scheduling new evaluations. 
Responsibilities:

Position Summary: 

  • Interface with patients/customers via telecommunications prior to, during and after appointments 
  • Develop and maintain customer relations 
  • Coordinate with various staff within PappasOPT to ensure patient/customer requests are handled appropriately and in a timely manner 

 

Duties and Responsibilities: 

  • Create positive first impressions with all patients/customers 
  • Display outstanding service to all internal and external customers 
  • Schedule patient appointments using established systems 
  • Perform data entry of protected health information 
  • Collect and document patient payments 
  • Fax, mail and file medical records and other sensitive documents 
  • Communicate effectively with clinic and billing staff regarding patient matters 
  • Communicate effectively with referring providers and their office staff 
  • Participate in educational activities and attend staff meetings 
  • Maintain strictest confidentiality; adhere to all HIPAA guidelines/regulations 
  • Perform other work-related duties as assigned 

 This job has no supervisory responsibilities at the current time

Qualifications:

Education: 

High School Diploma or GED 

Skills/Experience: 

Required: 

  • Candidate must be friendly and enjoy helping others 
  • Ability to operate a computer and basic office equipment 
  • Ability to operate a multi-line telephone system 
  • Skill in answering a telephone in a pleasant and helpful manner 
  • Ability to read, understand and follow oral and written instructions 
  • Ability to establish and maintain effective working relationships with patients, employees, and the public 
  • 6-8 months of experience working as a Care Coordinator for PappasOPT preferred and not required 

Preferred: 

  • Knowledge of computer programs  
  • Knowledge of business office procedures 
  • Experience in customer service 

Physical Demands: 

  • Sitting and standing associated with a normal office environment 
  • Manual dexterity needed for using a calculator and computer keyboard 
  • Regularly required to talk and hear 
  • Frequently required to use hands and fingers, handles, tools or controls 
  • Occasionally required to stand, walk, sit, reach with hands and arms, climb or balance and stoop, kneel, crouch, or crawl
