Our firm is partnering with a leading national retailer known for delivering innovative, guest-focused shopping experiences across thousands of stores nationwide. We are seeking a Visual Merchandising & Event Execution Project Manager to support the planning, coordination, and execution of high-visibility retail experiences, enterprise events, and mock-store environments during a fast-paced fall and winter project cycle.
This contract position is ideal for a highly organized project management professional with experience in visual merchandising, experiential marketing, retail environments, event production, or store design. The successful candidate will oversee multiple concurrent initiatives, ensuring seamless execution from planning and installation through event completion and project closeout.
Job Description
The Visual Merchandising & Event Execution Project Manager will serve as the central coordinator across visual merchandising, event logistics, production teams, and cross-functional stakeholders. This role requires strong project management capabilities, exceptional attention to detail, and the ability to translate creative concepts into actionable execution plans.
The selected professional will manage all phases of project delivery, including planning, sourcing, installation, onsite support, and post-event reconciliation.
Key Responsibilities
Project Planning & Management
  • Develop and maintain detailed project plans, timelines, workback schedules, action trackers, and installation calendars.
  • Translate visual merchandising and event objectives into clear deliverables, milestones, and execution plans.
  • Manage multiple projects simultaneously while balancing competing priorities and deadlines.
  • Identify risks, troubleshoot issues, and escalate critical decisions to maintain project schedules and budgets.
  • Provide regular status updates to stakeholders and leadership teams.
Visual Merchandising & Fixture Coordination
  • Partner with merchandising and experience teams to define fixture, display, product, and presentation requirements.
  • Coordinate fixture procurement, delivery, installation, returns, and inventory reconciliation.
  • Maintain accurate fixture inventories and supporting documentation throughout project lifecycles.
  • Support mock-store and showroom setups to ensure alignment with merchandising strategies.
Sourcing & Production Coordination
  • Coordinate sourcing of furniture, props, dcor, signage, and experiential materials.
  • Collaborate with production teams, creative partners, logistics providers, and vendors on custom builds and specialty projects.
  • Track production schedules, delivery timelines, project dependencies, and costs.
  • Ensure materials and resources are available to support key installation milestones.
Documentation & Event Readiness
  • Maintain floor plans, inventory lists, installation guides, project trackers, product lists, and readiness checklists.
  • Ensure project documentation remains accurate, organized, and accessible.
  • Conduct readiness reviews prior to installations and events to identify and address gaps.
  • Support operational excellence through strong documentation and process management.
Installation & Onsite Execution
  • Provide hands-on coordination during setup, installation, and event execution.
  • Ensure teams have the necessary fixtures, merchandise, equipment, props, and resources.
  • Resolve onsite issues by coordinating with internal and external stakeholders.
  • Monitor installation activities to ensure work is completed safely, accurately, and on schedule.
Project Closeout
  • Coordinate event teardown, material returns, and inventory reconciliation activities.
  • Confirm completion of outstanding logistics and vendor deliverables.
  • Maintain final project records and closeout documentation.
  • Capture lessons learned and create reusable templates and tools to improve future projects.

Qualifications
Required Qualifications
  • Experience in visual merchandising, retail environments, experiential events, store design, event production, or related project management roles.
  • Proven success managing complex, deadline-driven projects with multiple stakeholders.
  • Experience coordinating physical installations, fixtures, displays, props, furniture, or event materials.
  • Strong ability to manage competing priorities, dependencies, and timelines simultaneously.
  • Excellent organizational skills with exceptional attention to detail.
  • Experience developing and maintaining project plans, schedules, inventories, trackers, and operational documentation.
  • Strong communication, collaboration, and stakeholder management skills.
  • Ability to work independently and take ownership of projects from planning through completion.
  • Demonstrated problem-solving skills with the ability to proactively identify and mitigate risks.
  • Availability to provide onsite support during key installation and event periods.

Preferred Qualifications
  • Experience supporting large-scale retail, showroom, mock-store, or experiential environments.
  • Experience working with creative, visual merchandising, studio, production, logistics, and operations teams.
  • Knowledge of fixture management, installation planning, event production, and inventory reconciliation processes.
  • Experience managing project budgets and vendor relationships.
  • Ability to thrive in fast-paced environments with changing priorities and compressed timelines.
  • Familiarity with retail store planning, merchandising execution, or customer experience initiatives.
