Position Summary\n
NTRC is seeking an outgoing, energetic and highly organized Volunteer Coordinator to join our Volunteer Services team. Working directly with the Volunteer Manager, the Volunteer Coordinator will help manage a volunteer community of more than 500 individuals and assist in filling more than 150 volunteer positions each week.

This is a fast-paced, people-focused position that also requires excellent attention to detail and strong computer skills. The ideal candidate is a true people person — someone with the “gift of gab” who enjoys talking with people, building relationships and making connections — while also being comfortable managing schedules, databases, reports and technology.

We are looking for a go-getter who doesn't wait for things to happen. This person should enjoy picking up the phone, solving problems, following up and helping keep a large volunteer operation running smoothly. No horse experience is required. We can teach you about NTRC and our horses; we're looking for someone who already knows how to connect with people.

Key Responsibilities1. Volunteer Scheduling & Communication\n

- Assist in coordinating and filling 150+ volunteer positions each week across NTRC programs and activities.
- \n
- Develop and implement communication strategies to help keep weekly volunteer shifts filled.
- \n
- Proactively call, email and communicate with volunteers regarding open positions, schedule changes and upcoming opportunities.
- \n
- Monitor schedules and identify volunteer needs and potential gaps in advance.
- \n
- Build relationships with volunteers and learn their interests, availability and strengths.
- \n
- Help re-engage inactive volunteers and encourage increased participation.
- \n
- Provide timely, friendly and professional responses to volunteer questions and requests.
- \n
2. Volunteer Database & WRANGLR Management\n
- \n
- Help manage and maintain NTRC's database of 500+ volunteers using WRANGLR, our volunteer management platform.
- \n
- Maintain accurate volunteer profiles, schedules, availability, assignments, qualifications and service hours.
- \n
- Regularly update volunteer information and ensure database accuracy and integrity.
- \n
- Become highly proficient in WRANGLR and its scheduling, communication and reporting capabilities.
- \n
- Generate volunteer reports and data as requested by the Volunteer Manager and organizational leadership.
- \n
- Track volunteer participation, hours, vacancies and other key metrics.
- \n
- Assist with maintaining organized and documented volunteer procedures and records.
- \n
3. Volunteer Recruitment, Onboarding & Engagement\n
- \n
- Assist with recruiting new volunteers to meet NTRC's ongoing needs.
- \n
- Follow up with prospective volunteers and help move them from initial inquiry through orientation and into active volunteer service.
- \n
- Assist with volunteer orientations, onboarding and training.
- \n
- Help match volunteers with appropriate opportunities based on their interests, abilities and availability.
- \n
- Support volunteer recognition, appreciation and retention efforts.
- \n
- Help create a volunteer experience that is organized, welcoming and engaging from the first point of contact.
- \n
4. Volunteer Team & Administrative Support\n
- \n
- Work closely with the Volunteer Manager and program staff to understand and anticipate weekly volunteer needs.
- \n
- Prepare schedules, rosters, reports, communications and other volunteer materials.
- \n
- Assist with volunteer meetings, special projects and events.
- \n
- Maintain accurate electronic records and documentation.
- \n
- Help identify opportunities to improve volunteer scheduling, communication and administrative processes.
- \n
- Assist the Volunteer Manager with additional projects and responsibilities as needed.
- \n

Qualifications\n
- \n
- Strong computer skills are required. Candidates must be comfortable working with databases, email, spreadsheets, scheduling platforms and other technology. Texting will be required.
- \n
- Ability and willingness to learn new software quickly and become highly proficient in WRANGLR.
- \n
- Outgoing, personable and comfortable initiating conversations with new people.
- \n
- A natural relationship builder with excellent interpersonal and communication skills.
- \n
- Self-motivated and proactive — a true go-getter.
- \n
- Strong organizational skills with exceptional attention to detail.
- \n
- Excellent follow-through and ability to manage multiple priorities simultaneously.

- Comfortable making phone calls and proactively reaching out to volunteers.
- \n
- Polished, professional presence and ability to represent NTRC positively in the community.
- \n
- Previous experience working with volunteers, customers, members, guests or the public is a plus.
- \n
- Experience in hospitality, customer service, membership, recruiting, nonprofit administration, scheduling or a related people-focused field is preferred.
- \n
- Bilingual English/Spanish is a plus.
- \n
- Horse experience is not required.
- \n

- Comfortable working in an active environment that includes horses, barns and outdoor areas.
- \n
- Ability to move throughout NTRC's campus as needed.
- \n
- Ability to assist with occasional volunteer activities and events.
