    Position Title: Volunteer Coordinator
    Supported by: Director of Marketing and Communication        
    FLSA Status: Non-Exempt, Full-Time

    Our Story:
    Food Bank for the Heartland has connected our communities with food, resources, and hope since 1981.  The fight against hunger is our ongoing, collaborative effort.  We work with individuals, organizations, food manufacturers and distributors, grocery stores, the USDA, and Feeding America to procure food and purchase food to supplement donations.  Through the collective power of our leadership, employees, partners, volunteers, and donors, we can reach more communities, serve more people, and address food insecurity more directly and effectively.  As new needs arise, we are ready.

    In Short:
    The Volunteer Coordinator provides oversight in the recruiting, scheduling, orientation, hands-on experience, and recognition of volunteers to support vital daily operations ensuring the mission, vision and reputation of Food Bank for the Heartland are upheld in a consistent and professional manner. Creates an environment where everyone feels welcome and contributes to the overall mission of serving our neighbors in need.



    Your Mission:
    30% Enhance Volunteer recruitment across:Individuals, Families, Corporate Partners, and Other Groups:
    • Recruit and secure volunteers using various techniques (databases, email, social media, website, etc.)
    • Manage volunteer recruitment, registration and scheduling for Volunteer Center shifts. Provide timely response to inquiries.
    • Manage volunteer recruitment, registration and scheduling for off-site events including special events, mobile pantries, and other distribution events. Provide timely response to inquiries.
    • Identify and recruit volunteers that would fit into a “Lead Volunteer” role at the Food Bank.
    • Develop relationships and engage in proactive conversations with Corporate, Civic and School volunteer liaisons.
    • Attend volunteer/community engagement fairs as available.
    • Aid in increasing volunteer engagement from the Foodies.
    20% Enhance On-Site Volunteer Experience at Food Bank for the Heartland:
    • Disseminate information for upcoming actions and events.
    • Enhance Volunteer Entrance/Orientation Space for optimum engagement.
    • Greet and orient volunteers to increase their understanding of the mission, vision and values of the Food Bank.
    • Aid volunteers during their sign-in process and during volunteer shift as warranted.
    • Enhance Volunteer exit experience to include group recognition, photo opportunities, and donation opportunities.
    • Conduct volunteer survey for feedback on the volunteer experience.
    15% Manage Volunteer Retention and Recognition Program:
    • Coordinate On-Site Volunteer Celebration during National Volunteer Month.
    • Manage Volunteer Loyalty Program and recognize volunteers at appropriate milestones.
    • Collaborate with Marketing and Communication department personnel to create quarterly volunteer newsletter, contribute regular social media posts and website content regarding the volunteer program.
    15% Serve as the Partnership Liaison to the Food Bank Foodies Group:
    • Assist Foodies volunteer board in development of annual plan.
    • Provide strategic information and introductions to FBFH Senior Leadership.
    • Support Foodies volunteer board and general membership efforts towards fundraising, special events, food collection events, recognition activities, and volunteer efforts.
    • Assist in new member recruitment and recognition.
    • Coordinate with Marketing & Communications and Food Sourcing teams on collateral pieces and support needed for various Foodies’ events and projects.
    • Collaborate with Development team in support of Foodies’ fundraising initiatives.
    10% Support Donor Pipeline Development from Volunteers to Donors and Enhance Corporate Participation:
    • Engage corporations in support of the Food Bank volunteer program, special events and campaigns.
    • Integrate strategies for volunteers who donate to the Food Bank and coordinate with development personnel when donors volunteer.
    • Participate in stewardship of volunteers who donate, including corporate partners.
    10% Administrative Duties:
    • Produce daily schedules for shifts and everyday activities.
    • Keep detailed records of volunteer information and assignments.
    • Administer volunteer management software to include all FBH Volunteer Opportunities.
    • Coordinate with Sourcing/Volunteer Center Staff to determine volume of volunteers needed and appropriate volunteer projects for the Volunteer Center operation.
    • Produce appropriate volunteer engagement reports for internal/external stakeholders.
    • Act as liaison to Food Bank staff to identify, recruit and train volunteers for projects outside of Volunteer Center.
    • Maintain appropriate budget line observations.
    • Survey staff regularly to assess the needs for volunteer assistance.
    • Conduct tours as needed or requested.
    Knowledge, Skills, and Abilities:
    • Commitment to Food Bank for the Heartland’s mission and values
    • Excellent oral and written communication skills – including public speaking
    • Attention to detail
    • Time management skills
    • Ability to schedule volunteer shifts and manage fluctuating availability
    • Knowledge of different recruiting methods
    • Experience in volunteering locally or regionally
    • Inclusive, welcoming and influential
    • Demonstrated relationship building skills
    • Proficiency with Microsoft Office products
    • Data base management skills (Cervis, Get Connected, VolunteerHub, Blackbaud, Salesforce, etc.)

    • Availability for regular, evening and weekend shift work

    Your Story: 
    • Associate degree in volunteer management, nonprofit management, communications, project management, public relations, or a related field required. Bachelor's degree preferred. 
    • Additional years of experience may substitute for education to provide the required knowledge, skills, and abilities.  
    • Minimum of 1 year of experience coordinating volunteers, in a community engagement, nonprofit programs, or related field required. 
    • Proficiency with volunteer management software or Microsoft Office preferred. 
    • Strong public speaking, organizational, and time-management skills, with the ability to coordinator and speak to multiple at once preferred. 
    • Lived experience with the impacts of systemic racism or marginalization is a plus.
