Description

Under general direction, to recruit, screen, place, coordinate and recognize volunteers; and to provide technical staff assistance and volunteer management and training on a department-wide basis for volunteer-related issues, programs and events.

The County of Santa Clara is currently recruiting to fill one vacancy with the Library District. The Santa Clara County Library District (SCCLD) is an award-winning public library system serving more than 450,000 residents through eight community libraries, Bookmobile outreach, the Reading Program, and robust digital services. With a mission of "Belong. Connect. Discover.", SCCLD is committed to delivering inclusive, high-quality library services that promote lifelong learning, equity, and community connection. The Volunteer Coordinator will play a key role in overseeing volunteer services that support library district initiatives including the Reading Program, Homework Help, programming and literacy work, and local library operations. This position is responsible for coordinating volunteer recruitment, screening, orientation, communication and recognition, as well as policy and procedure development. The role demands strong communication and collaboration skills with library staff, supervisors and managers, volunteers, and community groups, as well as strong organization, data management, and reporting skills.

This position will primarily work onsite at 1344 Dell Avenue, Campbell, but will occasionally be expected to work throughout the library district at community library locations. Typical Tasks

  • Recruits, interviews, screens, places, orients, coordinates, trains and recognizes volunteers for projects and programs;

  • Implements department-wide recognition program for volunteers;

  • Promotes volunteer programs to department staff and the community;

  • Coordinates event activities, such as dedications, festivals, groundbreakings and fund-raisers;

  • Defines volunteer expectations in advance and provides hands-on assistance to encourage, support, supplement and track all volunteers and their duties in support of volunteer events and programs;

  • Matches volunteer resources with field staff;

  • Assists in the development of policies and procedures;

  • Prepares correspondence and writes reports related to departmental volunteer programs;

  • Develops and updates informational brochures, newsletters and flyers regarding the activities of the volunteer programs;

  • Directs volunteer events, including court appointed community service requests;

  • Establishes, publishes and regularly updates volunteer schedule and list of events;

  • Provides training for volunteers and ensures training meets the current needs of the program;

  • Provides Volunteer Management Training for staff;

  • Communicates regularly with volunteers through check-in phone calls and emails;

  • Maintains accurate data, records, and files of departmental volunteer and docent programs and activities;

  • May be assigned as a Disaster Service Worker, as required;

  • Performs other related duties as assigned.

Employment Standards

Sufficient education, training, and experience to demonstrate the possession and direct application of the following knowledge and abilities:

Training and Experience Note: The required knowledge and abilities are attained through training and experience equivalent to possession of a Bachelors Degree. Relevant analytical, administrative, lead, supervisory or management experience that includes interpreting rules and regulations, gathering data and formulating recommendations, and report writing can substitute for education on a year-for-year basis;

and

Two (2) years of experience as a volunteer coordinator, event coordinator, recreation coordinator, volunteer leader or recreation program supervisor with a public or private agency, that included at least one (1) year coordinating or planning volunteer events or services.

OR

Training and experience equivalent to possession of a two-year college degree (60 semester units or 90 quarter units)

and

Four (4) years of experience as a volunteer coordinator, event coordinator, recreation coordinator, volunteer leader or recreation program supervisor with a public or private agency provider, that included at least one (1) year coordinating or planning volunteer events or services.

Special Requirements

  • Ability to travel to and from various locations during the course of work and, if driving, possession of a valid California Drivers License prior to appointment and the ability to qualify for and maintain a County driver authorization.

Knowledge of:

  • Methods and materials used in volunteer programs;

  • Principles and practices of first aid and safety;

  • Fund raising and event planning techniques;

  • Program development, evaluation, and promotion, particularly as it applies to volunteer programs;

  • Interviewing techniques;

  • Computer applications, such as word processing, spreadsheets, and databases.

Ability to:

  • Plan, develop, implement, coordinate, organize, and evaluate volunteer programs for a department or agency;

  • Recruit, screen, place, coordinate, motivate, organize, train, recognize, and track volunteers;

  • Plan, organize, and direct the efforts of volunteers;

  • Establish and maintain connections and network within the community to form effective partnerships;

  • Develop systems for recruitment, training, placement, supervision, evaluation and recognition of volunteers;

  • Track volunteer activity and target outcome expectations;

  • Follow a work-flow process and utilize systems that will allow for the orderly, timely and professional completion of tasks as requested;

  • Recruit required volunteers and commit them to one-day, short-term and long-term volunteer projects;

  • Work with individuals from diverse backgrounds;

  • Deal effectively and develop and maintain cooperative relationships with volunteers, employees, management, the public, and representatives of other groups and organizations;

  • Speak and write effectively and clearly;

  • Prepare and maintain clear and concise records and reports, including budget recommendations and justifications;

  • Operate a personal computer and its software;

  • Read, interpret and understand the laws, ordinances, and regulations relevant to perform the functions described above.

Physical Requirements

  • Must be able to work weekends, holidays, or other irregular hours;

  • Must be able to conform to departmental uniform standards (if required).
