JOB DESCRIPTION
We’re seeking a VP of Operations to become a key member of its leadership team and take ownership of the company's day-to-day operational execution. This is a highly hands-on leadership role for an experienced operator who enjoys building structure, developing people, improving processes, and turning ideas into completed initiatives.
You will work closely with the Founder & CEO and COO to coordinate operations across multiple functions, establish clear accountability, improve efficiency, and ensure important projects move from planning through completion. This leader will initially oversee a portion of the company's department leadership, with the scope expanding over time across Laboratory, Client Services, Billing, Internal Operations, and Sales.
The ideal candidate is an adaptable, practical, and collaborative leader who can operate effectively in a fast-moving 30-person company while bringing the processes and discipline needed for its next stage of growth. WHAT YOU’LL DO
· Take ownership of day-to-day operational execution across multiple departments and become a key operational partner to the CEO and COO.
· Lead and develop department leaders while establishing clear expectations, accountability, and performance rhythms.
· Identify operational bottlenecks, inefficiencies, and opportunities for improvement and drive solutions through implementation.
· Ensure important cross-functional initiatives move forward, stay on track, and reach completion.
· Build and improve SOPs, workflows, systems, and processes that allow the company to scale effectively.
· Establish consistent operational accountability through KPIs, scorecards, goals, and regular leadership rhythms.
· Facilitate and maintain EOS operating rhythms, including L10 meetings, Rocks, scorecards, and follow-up on commitments.
· Work closely with the laboratory team on new instruments, testing capabilities, vendors, workflows, and other operational initiatives.
· Evaluate staffing, resources, and workflows to improve efficiency and support sustainable growth.
· Partner with leadership on budgets, financial performance, vendor relationships, cost management, and operational efficiency.
· Identify opportunities to reduce unnecessary costs while maintaining quality, compliance, and client service.
· Support client relationships and help resolve escalated client needs when operational leadership is required.
· Partner with teams to ensure compliance-related initiatives and action items are completed on schedule.
· Translate leadership priorities into clear plans, ownership, timelines, and measurable outcomes.
· Build strong relationships across teams with different working styles, including sales, client services, laboratory professionals, and administrative teams.
· Coach and develop leaders, helping them become stronger owners of their respective functions.
· Bring an objective, cross-functional perspective to leadership discussions and proactively identify gaps or opportunities.
· Help create an operating environment where teams can move quickly while maintaining accountability, quality, and consistency.
· Take a hands-on approach when needed and demonstrate a willingness to jump into problems and help the team find solutions.
WHAT WE'RE LOOKING FOR
We’re looking for an experienced operations leader who combines strong business judgment with a hands-on execution style. The right person will be comfortable leading through change, building structure where needed, and working directly with teams rather than managing exclusively from a distance.
Required Qualifications
· Operations-First Mindset: We're prioritizing operational execution and hands-on leadership over strategic visioning. The ideal candidate is an experienced operator who builds systems, drives accountability, and gets results—not a strategist.
· Proven experience leading operations across multiple departments or functions, ideally at a Director, VP, General Manager, or comparable leadership level.
· Experience managing and developing managers or department leaders.
· Demonstrated ability to build processes, systems, and accountability structures that improve business performance.
· Experience managing operational budgets, reviewing financial performance, evaluating costs, and identifying efficiency opportunities.
· Experience handling complex employee and leadership situations with professionalism, sound judgment, and an appropriate balance of empathy and accountability.
· Strong project ownership with a demonstrated ability to take initiatives from planning through completion.
· Currently or recently operating in a leadership/management position with meaningful operational responsibility.
· Strong attention to detail and organizational skills.
· Highly adaptable and comfortable working in a fast-changing environment where priorities can evolve quickly.
· Strong technology skills and the ability to quickly learn new systems and software.
· Strong Excel skills and comfort working with operational and financial data.
· Excellent communication and interpersonal skills, with the ability to work effectively with both technical and non-technical teams.
· A collaborative, consultative leadership style with the ability to provide constructive pushback while maintaining alignment once decisions are made.
· A hands-on, team-oriented approach and willingness to contribute wherever needed.
· Demonstrated alignment with a culture of integrity, ownership, customer focus, continuous improvement, and teamwork.
Preferred Experience
· Experience in healthcare services, clinical laboratories, diagnostics, behavioral health, or another healthcare-related environment.
· Experience operating in a business in the approximate $10M–$50M revenue range or a similarly sized organization.
· Experience in both structured/larger organizations and entrepreneurial or high-growth environments.
· Experience with EOS, including L10 meetings, Rocks, scorecards, or similar operating systems.
· Experience with laboratory, healthcare, manufacturing, chemical, or other highly process-driven environments.
· Experience managing vendors, implementing new technology or equipment, or launching new service lines.
· Bachelor's degree is a plus, but relevant leadership experience will be prioritized over formal education.
· Familiarity with systems such as HubSpot, QuickBooks, CollaborateMD, LIS platforms, Rippling, or similar business systems is helpful but not required.
