About the Role:
We are seeking a Warehouse Administrator & Operational Coordinator to join our team in Los Angeles (LAX). This hybrid role combines warehouse administration, inventory oversight, and operational logistics support to ensure the efficient movement of cargo through third-party warehouse facilities and the successful execution of customer shipments.
The Warehouse Administrator & Operational Coordinator serves as a key liaison between Noatum Logistics, warehouse partners, carriers, and customers. This position is responsible for inventory accuracy, shipment coordination, documentation management, customer service, regulatory compliance, billing support, and operational reporting. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced logistics environment.
Key Responsibilities:
- Coordinate daily activities with third-party warehouse providers to ensure customer cargo is received, handled, stored, and shipped according to established procedures.
- Monitor warehouse operations to ensure inventory accuracy and compliance with customer requirements.
- Complete operational records, logs, reports, and shipment documentation accurately and in a timely manner.
- Assist in the development, training, and support of warehouse personnel to maintain high levels of productivity, quality, and accuracy.
- Investigate shipment discrepancies, inventory variances, and customer concerns, working with warehouse providers and operational teams to resolve issues promptly.
- Ensure transportation data is entered accurately to meet tracking, customer, and regulatory requirements.
- Verify that all required shipping, customs, and regulatory documentation is complete and compliant prior to shipment movement.
- Process, distribute, and release operational documentation to carriers, agents, warehouses, customers, and other stakeholders in a timely manner.
- Complete data entry and milestone updates including cargo receipt, departures, arrivals, customs clearance, deliveries, and proof of delivery (PODs) in accordance with customer Standard Operating Procedures (SOPs).
- Coordinate shipment pickups, transfers, and deliveries with carriers, transportation providers, warehouses, and service partners.
- Support ocean freight operations by assisting with shipment management, documentation, customer updates, and operational follow-up.
- Maintain strong working relationships with customers, warehouse operators, trucking companies, freight forwarders, customs brokers, and carriers.
- Prepare shipment status reports, inventory reports, and operational performance metrics as required by management and customer agreements.
- Review and support client billing activities, ensuring revenue, costs, and profitability are accurately reflected.
- Develop a working knowledge of Incoterms, commercial invoices, customs requirements, and international shipping documentation.
- Promote and maintain a clean, organized, safe, and compliant work environment across warehouse operations.
- Participate as an effective team member while managing multiple priorities in a fast-paced logistics environment.
- Maintain courteous, professional, and responsive customer service at all times.
- Support continuous improvement initiatives to enhance operational efficiency, service quality, and customer satisfaction.
What We Are Looking For:
- High school diploma or equivalent required.
- Associate's degree or coursework in Logistics, Supply Chain Management, Transportation, or a related field preferred.
- Minimum 1-2 years of experience in warehouse operations, logistics coordination, freight forwarding, or supply chain operations.
- Minimum 2-3 years of experience operating material handling equipment.
- Valid forklift certification with demonstrated forklift operating experience.
- Experience working with inventory control processes and warehouse operations.
- Understanding of domestic and international transportation processes.
- Knowledge of shipment documentation, customs documentation, and regulatory compliance requirements.
- Ability to operate and train others on material handling equipment safely and effectively.
- Strong organizational skills with the ability to prioritize multiple assignments and deadlines.
- Excellent customer service, communication, and problem-solving abilities.
- Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word.
- Ability to work independently while collaborating effectively within a team environment.
- Strong attention to detail and commitment to accuracy.
- Experience using logistics and transportation management systems preferred.
- CargoWise experience strongly preferred.
- SAP experience preferred.
- Crating and specialized cargo handling experience preferred.
- Ability to work in a paperless and technology-driven environment.
