Warehouse and LogisticsLocation: Victor NY Position SummaryThe Warehouse and Logistics Coordinator owns the custody and movement of IK Systems material from the point it arrives at the Victor corporate warehouse until it reaches the job site, the technician, the customer, or the vendor on a return. This is a hands-on warehouse and driving role with a significant inventory-control and documentation component. The employee spends most of the workday on the warehouse floor and behind the wheel, and the balance in the system of record maintaining accurate, auditable records. The position is the physical verification point between what IK Systems purchased and what arrives on a job site. Essential Duties and ResponsibilitiesInbound Visibility and ReceivingMonitor inbound shipments against open purchase orders with the Procurement Specialist, maintaining warehouse-side visibility of what is due in and when.Receive inbound shipments against purchase orders, verifying part numbers, model numbers, quantities, and condition at the dock, and recording equipment serial numbers.Log every receipt in the system of record the same business day.Report discrepancies, shortages, damage, and substitutions to the Procurement Specialist and assigned Project Manager the same business day, with photographs and supporting documentation.Document carrier damage before the driver departs and provide the documentation required for freight claims. Inventory and Warehouse ControlMaintain labeled, job-segregated storage with every item traceable to a job number, stock designation, or RMA.Conduct cycle counts on a defined schedule and support periodic full physical inventory at Victor, Syracuse, and Barker.Execute and document inventory transfers between locations, keeping system quantities matched to physical quantities at each site.Maintain a clean, safe, and audit-ready warehouse, including the inspection, upkeep, and safety compliance of pallet jacks, ladders, and other material handling equipment.Maintain warehouse consumables including packaging materials, pallets, banding, labels, and shipping supplies. Kitting, Packaging, and Outbound ShipmentBuild job kits from PM-issued kitting requests and documented pick lists, staged by job number and required-on-site date.Repackage vendor cartons and palletized material for safe transit, selecting packaging suited to the equipment, the carrier, and the site conditions.Ship material by carrier or stage it for technician pickup, meeting required-on-site dates issued by the Project Management team.Prepare and document outbound shipments in accordance with carrier packaging and labeling requirements.Provide tracking information to the Project Management team and the Procurement Specialist on all outbound orders, and to the customer on equipment-only orders.Release no material by carrier, company vehicle, or technician pickup without a documented transfer to a job number. Material Transport and DrivingOperate company box truck, cargo van, and pickup to deliver material to active job sites and transfer inventory between IK Systems locations across New York State.Load and secure loads for transit, including pallet handling, load distribution, and cargo restraint.Complete pre-trip and post-trip vehicle inspections, report defects, and maintain vehicle cleanliness, fluid levels, and scheduled service intervals.Coordinate delivery windows and site access with the site foreman or Project Manager, and obtain signed receipt at the point of delivery.Plan routes and delivery sequence to consolidate trips and limit time the warehouse is unattended. Returns, RMAs, and Reverse LogisticsReceive, inspect, and disposition job returns, including surplus, defective, and customer-returned material, back to stock or to the vendor.Package, document, ship, and track vendor RMAs with the Procurement Specialist.Track outstanding RMAs and escalate aging returns before the vendor return window closes. Process Ownership and CoordinationMaintain current standard operating procedures for receiving, kitting, packaging, shipping, and inventory transfers.Recommend improvements in material flow, storage layout, freight cost, packaging, and turnaround time.Work with the Procurement Specialist and Staff Accountant to resolve vendor invoicing discrepancies on received material.Support internal and customer audit requests with accurate receiving, transfer, and shipping records. Skills and Competencies Minimum RequirementsEducation: High school diploma or equivalent.Experience: 3+ years in warehouse operations, shipping and receiving, logistics, or materials coordination.Driver's License: Valid New York State driver's license with a clean driving record. Must be insurable under IK Systems' commercial auto policy and pass a motor vehicle record review at hire and annually thereafter.DOT Qualification: Must be able to obtain and maintain a DOT medical examiner's certificate.Technical Skills: Working knowledge of receiving against purchase orders, inventory or ERP systems, and carrier shipping platforms. Competence with email, spreadsheets, and mobile documentation tools sufficient to maintain records accurately and independently.Physical Capability: Able to perform the physical demands described below, with or without reasonable accommodation. Preferred QualificationsLow-voltage, electrical, mechanical, or construction distribution experience.Experience receiving and handling serialized equipment.Experience with cycle counting and physical inventory in a job-costed or project-based environment.Experience documenting warehouse or inventory procedures.Box truck or straight truck driving experience, including load securement. Work Environment and Physical DemandsThis is a highly active, hands-on warehouse position. The employee is expected to spend the majority of the workday physically working in the warehouse receiving, moving, organizing, staging, kitting, loading, and preparing material for shipment or technician pickup with the balance of the day spent driving company vehicles and maintaining records. The role requires prolonged standing and walking; frequent bending, reaching, crouching, twisting, pushing, pulling, carrying, and material handling; and repeated lifting and moving of equipment and packages throughout the workday. The employee will regularly load and unload shipments, move material throughout the warehouse, build and break down pallets, operate material handling equipment, climb ladders and stairs, and maintain warehouse organization. LiftingFrequently lifts, carries, and maneuvers equipment and packages weighing up to 50 pounds throughout the workday.Occasionally handles heavier items, including battery cabinets, power supplies, equipment racks, and palletized material. Items over 75 pounds require a team lift or mechanical assist; the employee is expected to use equipment rather than force.EnvironmentThe Victor warehouse is not heated or air conditioned. Interior temperatures track outdoor conditions and vary substantially by season.Exposure to dust and outdoor conditions during loading, unloading, and delivery.Appropriate personal protective equipment and full compliance with OSHA and IK Systems safety requirements are mandatory.
