TDMC manages all aspects of venue management, including but not limited to event booking, event management, marketing, IT, technical services, food & beverage, parking, security, housekeeping, changeover, maintenance, and more. Job Summary:

Trail Drive Management Corp (TDMC) is looking for a full-time Warehouse Dispatcher & Financial Admin. This position is responsible for executing a wide variety of tasks, including data entry. Tasks include, but are not limited to, warehouse transfers, invoice entry, inventory entry, and administrative work, such as answering and logging phone calls to the warehouse on event days. Warehouse dispatchers are responsible for correctly and accurately entering all information for transfers into the database, properly printing all transfer paperwork and posting it in the correct area so that the product can be distributed, organizing all the completed transfer paperwork, assisting by accurately receiving invoices into the computer database, and assisting with inventory data entry.

This position will be 100% on-site.

Essential Job Functions:

  • Professionally answers the phone, writes down and enters all items that are being requested throughout the operation with specific location/ department details.
  • Assists the Warehouse and Purchasing Manager with ensuring that all transfers are being correctly logged, printed, and posted in a timely manner so that the warehouse team members can fill out the transfer orders and expeditiously drop product off.
  • Ability and willingness to address and correct any issues with transfers or requested product that would impact the external and/or internal guest experience.
  • Ensure consistency with policies and standards of the purchasing team as outlined by Trail Drive Management.
  • Bring any performance-related issues regarding fulfilling and responding to requisitions by warehouse team members to the attention of the Warehouse and Purchasing Manager.
  • Support with coaching and counseling of team members as appropriate.
  • Assist in ensuring the accurate and efficient pulling of product and distribution to various departments and areas in a timely manner.
  • Help maintain inventory for quality and accuracy.
  • Maintain quality service by following organization standards.
  • Maintain a safe and clean work environment.
  • Practice proper use of the computer database for transfers, invoices, and inventory control.
  • Deliver professional, courteous, and efficient service to internal and external guests.
  • Be comfortable and familiar with the facility and know how to direct warehouse team members personally so they can distribute products.
  • Assist and support any other Food and Beverage departments as needed.
  • Follow and enforce policies associated with the safe service of all alcoholic beverages and the safe and sanitary service and storage of all food items.
  • Partner with the other warehouse and F&B leaders to ensure timely submission of all orders.
  • Partner with the finance department and other warehouse/ F&B leaders.
  • Ensure the timely and proper coding for invoice processing and vendor payment.
  • Manage and support capital requests, invoices, and placed-in-service documentation.
  • Support the stewarding team with on-site tracking of vendor work orders and/or on-site visits as needed.
  • Work with all TDMC counterparts to ensure event standards of service are reached.
  • Perform other duties as assigned.

Qualifications:

  • Must be a minimum of 18 years of age.
  • High School diploma or equivalent
  • English reading, writing, comprehension, and basic math skills required.
  • 1+ years of dispatcher experience in a similar capacity preferred.
  • Previous experience in a warehouse environment, handling transfers and distribution along with inventory management is preferred.
  • Previous experience in high-volume, complex food service operations; sports and/ or entertainment venue preferred
  • Knowledge and understanding of receiving, storing, transfers, and inventory control preferred.
  • Demonstrated ability with experience to complete projects in a reliable, productive, and expedient manner while adhering to strict deadlines.
  • Ability to work independently and in a team environment.
  • Superior internal and external customer service experience.
  • Ability to speak and hear to conduct phone and radio correspondence.
  • Ability to work a flexible schedule including – nights, weekends, and holidays.
  • Able to communicate effectively with management, guests, and team members.
  • Ability to handle multiple tasks in a fast-paced, high-energy environment.

Working Conditions:

  • Employees will work in an environment with fluctuating temperatures.
  • Employees must have the ability to lift, push, and pull up to 50 lbs.
  • Employees will regularly work around animals typically found in a fair/4H/FFA environment (horses, cattle, pigs, sheep, dogs, etc.).
  • Employees will regularly spend their shift standing/walking, traveling stairs, with limited to no sitting.
  • Employees will be exposed to high noise levels and/or fluctuating lights in event settings.
  • Employees may be exposed to sharp objects, machines with moving parts, heat from ovens, burners, steam, trays, etc.
  • Employees must have the ability to reach, lift, and bend to perform job duties throughout the shift.
  • Employees may be exposed to hazardous chemicals, electrical shock risks, and vibrations throughout the shift.
  • Employees may be exposed to hazards associated with moving vehicles and require strict adherence to safety protocols.
