Warehouse and Expediting Manager

The Warehouse and Expediting Manager supervises the management of stocks related to the materials and spare parts required to execute projects, supervises the logistic and expediting of materials/spare parts/Plant and equipment as per the purchase order generated. He collaborates with other managers in order to define and organize the warehouse structure (main and secondary warehouses) with the aim of guaranteeing an effective, correct and safe management of the stocks of materials and spare parts and ensure the correct respect of the safety and health for all the personnel who physically handle them. The Warehouse and Expediting Manager is also responsible for optimizing the stocks and maintaining the minimum stock levels in function of project requirements, in collaboration with the Project manager, Site manager and requesting departments. He/she also manages purchase requisitions related to stocks and is responsible for transferring the procurement process to the relevant purchasing office. He/she supervises the warehouse movements, verifies that the goods receipts and goods issue are correctly posted, and performs regular inventories. He/she finally trains and facilitates the professional growth of the Storekeepers he/she coordinates. He/she guarantees the respect of the delivery timing of all supplies granting the correct visibility to all project stakeholders (Local and International Expediting).

Responsibilities:

Project Start-up

The Warehouse and Expediting Manager is responsible for defining, in collaboration with the project management and the headquarters' Material Manager, the following:

  • Minimum initial stocks for critical and strategic materials and spare parts
  • List of the materials codes needed for warehouse accounting
  • Specific project-related warehouse management procedures
  • Implementation of the expediting procedures

Procurement management

  • Defining, in collaboration with the management, the project requirements by preparing an initial requirement plan and updating it
  • To reorder sensible item for project
  • Analyzing and approving the purchase requisitions issued by the warehouse.
  • Monitoring the procurement process and supervising order follow-up activities
  • Assist procurement team in definition of logistics approach for international supplies

Warehouse, Logistic and expediting management

  • Supervising warehouse operations (goods receipts, quality assurance, issues, transfers, etc.)
  • Supervising stocks and ensuring full compliance with economic, ergonomic and safety requirements
  • Supervising auditing activities related to warehouse movements.
  • Optimizing the stocks of materials and spare parts (by regularly analyzing and updating minimum stock and replenishment levels, slow movement stocks) in coordination with the managers of other local warehouses
  • Defining, in collaboration with the AFC director/manager the frequency and procedures for performing warehouse inventories (at least two times per year) related to materials and spare parts, supervising the inventories, and examining the inventory discrepancies.
  • Assisting the Cost control department in the execution of the warehouse end-of-month closing transactions
  • Management of claim/no conformities and interaction with insurance department for major issues
  • Preparing and analyzing periodical stock management reports
  • Preparation of all reports to monitoring the warehouse activities
  • Organization of site document filing system according to HO guidelines
  • In conjunction with construction Manager, to ensure and to maintain suitable site records of resources and production. This also includes the routine of reviewing the site records themselves.
  • Check the correct handling of codes as per company rules.
  • Guarantee the proper conduction of all expediting and logistic activities.
  • With weekly frequency he/she verifies with the expediting team status of all purchase orders which have to be expedited
  • Preparation of expediting report to be shared with the project main stakeholders at least once a week.
  • Warehouse Monthly accountant closing report.

Requirements:

  • Minimum 10yrs of experience
  • Diploma accountant or Logistic
  • Knowledge and experience in construction processes
  • Knowledge of principles, warehouse activities (Inventory, Slow moving, Fixed Asset)
  • Knowledge of principles, expediting and logistic activities (custom rules, shipping methods, incoterms)
  • Knowledge of materials construction and spare parts
  • Knowledge of microsoft of
  • Proven Leadership and team building skills together with the ability to cope with stress situation.
  • Problem solving attitude, by being proactive and flexible
