The Warehouse Material Manager is responsible for independently managing all inventory, purchasing, receiving, storage, material forecasting, and material-control activities for a DMU/ZEMU maintenance facility. This is a hands-on, one-person materials department with no direct reports. The position requires a highly organized, self-motivated individual who can take full ownership of the shop’s inventory and ensure materials are available when needed to support maintenance operations. Key Functions - Maintain accurate electronic inventory records using the customer-provided Trapeze system.
- Monitor stock levels and promptly order materials that are low, out of stock, or approaching established reorder points.
- Establish and maintain minimum stock levels, reorder quantities, and safety-stock requirements.
- Review maintenance schedules, historical usage, supplier lead times, and planned overhaul activities to forecast future material requirements.
- Maintain a material-planning schedule to ensure required parts are ordered and available before scheduled overhaul work begins.
- Generate purchase orders and track orders through delivery and receipt.
- Coordinate with vendors regarding pricing, availability, lead times, back orders, damaged shipments, and missing materials.
- Prepare monthly inventory reports showing:
- Current and adjusted inventory
- Materials received and used during the month
- Low-stock and out-of-stock items
- Open purchase orders and pending deliveries
- Significant upcoming material requirements
- Perform cycle counts and physical inventory checks to identify and correct discrepancies.
- Receive, inspect, label, and properly store incoming materials.
- Issue materials to maintenance personnel and document usage against the appropriate vehicle, work order, or project.
- Maintain accurate records for serialized, warranty-controlled, repairable, and critical components.
- Create and maintain bin locations, inventory-location sheets, shelving assignments, and clearly labeled storage areas.
- Keep the warehouse and material-storage areas clean, safe, and organized.
- Track Return Material Authorization requests, warranty claims, vendor returns, and materials sent out for repair.
- Follow up on outstanding RMAs and maintain records of item status, location, expected return date, and final disposition.
- Provide management and maintenance personnel with updates regarding shortages, lead times, open orders, delivery concerns, and upcoming material needs.
- Maintain organized electronic and physical records for inventory, purchasing, receiving, shipping, material planning, and RMA activities.
Qualifications - High school diploma or equivalent required.
- Associate or bachelor’s degree in supply chain management, logistics, business administration, or a related field preferred.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to generate purchase orders, inventory reports, usage summaries, forecasts, and material-tracking spreadsheets.
- Strong organizational, analytical, planning, and recordkeeping skills.
- Ability to identify inventory needs and take action before shortages affect maintenance operations.
- Effective communication skills when working with management, maintenance personnel, customers, and vendors.
- Self-motivated, dependable, detail-oriented, and capable of working with limited supervision.
- Experience in rail, transit, vehicle maintenance, heavy equipment, manufacturing, or a similar technical environment is preferred.
