Step into a Day in the Life

When you arrive at our Ada, OK office, you’re the steady hand behind a team of financial advisors at a leading Wealth Management Firm. You open the calendar, orchestrate a smooth schedule, and make sure clients know exactly when and where to meet. By mid-morning, you’re finalizing client documents, double-checking details for accuracy and regulatory compliance, and saving everything securely in our systems. In the afternoon, you’re answering client questions with warmth and professionalism, polishing a presentation for a client review meeting, and confirming logistics for an upcoming seminar. You wrap up by restocking supplies and making sure tomorrow’s to-dos are neatly lined up.

What You’ll Do

  • Coordinate calendars and appointments for our advisors, keeping each day running on time.
  • Prepare and process client documentation with care, ensuring accuracy and alignment with regulatory standards.
  • Maintain up-to-date, secure client records in our database.
  • Respond promptly and professionally to client inquiries to deliver exceptional service.
  • Assist in building financial reports and client-ready presentations.
  • Organize client events and educational seminars from invitations to on-site logistics.
  • Support general office needs such as filing, data entry, and managing office supplies.

What You Bring

  • High school diploma or equivalent; a degree in finance, business, or a related field is preferred.
  • Prior administrative experience, ideally within financial services.
  • Excellent organization and the ability to manage multiple priorities and deadlines.
  • Clear, professional communication skills—written and verbal.
  • Fluency with Microsoft Word, Excel, and PowerPoint; familiarity with financial software is a plus.
  • Meticulous attention to detail, confidentiality, and accuracy.
  • A positive, curious mindset and a desire to grow with the firm.
