JOB SUMMARY
The Senior Administrative Assistant facilitates the WIC program by providing high-level administrative and operational support to ensure efficient program operations. This position facilitates clerical workflows, financial processes, and quality assurance efforts while supporting clinical services and maintaining compliance with departmental standards.
ESSENTIAL FUNCTIONS

- Provides administrative support to senior management, including scheduling, communications, and documentation.
- Responds to inquiries regarding departmental operations and resolves public concerns.
- Organizes and maintains departmental records, manuals, and digital content.
- Coordinates clerical workflows and assists with client assessments to support clinical operations.
- Manages financial processes, including accounts payable/receivable, purchase orders, invoices, and budget adjustments.
- Assists with budget preparation and monitors petty cash and inventory levels.
- Coordinates procurement of supplies and equipment; liaises with vendors and assists with grant and contract administration.
- Maintains a clean and sanitary WIC facility and reports maintenance needs.
- Oversees administrative logistics such as timekeeping, travel coordination, mail distribution, and vehicle maintenance.
- Performs other related duties as assigned to support program operations.
MINIMUM REQUIREMENTS & PREFERRED QUALIFICATIONS
MINIMUM REQUIREMENTS
- High school diploma or GED equivalent.
- Four (4) years of administrative experience in an office or program support setting; OR a comparable combination of education and experience that demonstrates the ability to perform the essential functions of the role.
- Valid Texas driver's license with acceptable driving record, or ability to obtain within 30 days of hire.
PREFERRED QUALIFICATIONS
- Sixty (60) hours of college coursework.
- Prior experience in a public health or clinical setting.

- Knowledge of administrative procedures, office systems, and recordkeeping practices.
- Knowledge of basic accounting principles and budget tracking.
- Skill in using standard office software, including word processing, spreadsheets, and databases.
- Strong written and verbal communication skills.
- Ability to manage complex workflows and prioritize tasks effectively.
- Ability to interpret and apply policies, procedures, and regulations.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently and collaboratively in a team environment.
PHYSICAL DEMANDS
This position requires lifting up to 45 pounds occasionally. Frequent activities include sitting, handling, fine dexterity, vision, hearing, and talking. Occasional activities include standing, walking, pushing/pulling, reaching, and carrying. Rare activities include kneeling, crouching, bending, twisting, climbing, balancing, and using foot controls.
WORK ENVIRONMENT
Work is primarily performed in a clinic setting with exposure to infectious diseases and occasional exposure to bloodborne pathogens, hazardous chemicals, and irate individuals. This is a safety-sensitive position requiring adherence to health and safety protocols. Immunizations are recommended but not mandatory. The WIC program covers costs for those who choose to receive them, and team members may decline any or all immunizations.
