Job Overview:
The Work Order Specialist II provides operational support for and administration of the Air Force Civil Engineering work order process. This position utilizes Computerized Maintenance Management System (CMMS) processes as required to meet contract work activities. The customer service unit ensures customers are provided courteous, prompt, and effective service.
This role collaborates with facilities workers and supervisors to schedule and package work activities to maximize work efficiencies while minimizing contract resources. This position provides oversight, coordination, and sustainment of all data requirements to be maintained in the government’s system of record (currently NexGen IT).
Responsibilities:
Essential Functions and Duties:
- Monitors and directs all work schedules and work to include training, determining work priorities, assigning/reviewing work, and addressing performance issues.
- Assists in managing all incoming work orders and maintenance activities from customers, to include distributing, tracking, data logging, filing, reporting, and archiving.
- Ensure Planner/Schedulers are providing product(s) (332s) that include job estimates and work packages ready for execution.
- Collaborates with Planner/Schedulers to provide creativity and judgement in devising approaches to accomplish work, resolve design and operational problems, and make decisions in situations whereby standard engineering methods, procedures & techniques may not be applicable.
- Assists with compiling, coordinating, reviewing, and processing a large range of contract required records, reports, and submittals. Provide analysis by extracting data from CMMS.
- Will monitor, track, and maintain all workflow management programs (facility manager, 332, dig permit, outages/closures, Preventive maintenance, and work requests)
- Inspect and diagnoses problems to determine corrective actions which will ensure a high level of professional, courteous customer service delivery always.
- Plans and determines work priorities, and risk level (3 A, B, C) in accordance with DAFI 32-1001 including allocation/assignment of CMMS activities.
- Ensures accuracy of incoming work order data and proper classification of work order tickets prior to forwarding them to appropriate departments for execution.
- Conducts random inspections to review work while in progress. Ensure procedures are being followed while meeting the highest level of customer service standards.
Interfaces with external and internal customers, as required, maximize productivity, and minimize lost time in a professional, pleasant, and courteous manner. - Reviews correspondence and communication from customers, such as customer survey results, and other inquiries and responds to them in a timely fashion with accurate professional responses. Interacts with other teams to coordinate work, quality, and safety standards.
- May occasionally be required to operate Customer and Company-owned motor vehicles.
Perform other duties as assigned in accordance with contractual, functional, and mission requirements.
This is a full time, onsite position on Maxwell Air Force base in Montgomery, Alabama.
Job Requirements:
Required Qualifications:
- High School Diploma, or equivalent.
- Minimum of 2 years’ customer service work experience.
- Minimum of one year of experience using Computerized Maintenance Management Information Systems.
- Knowledge of preventive maintenance programs, construction and repair terminology, project closeout procedures.
- Experience using Microsoft Office applications. Prefer experience with NexGen IT software.
- Prefer experience working in a military environment and familiarity with Air Force Civil Engineering guidance, rules, and regulations and/or government contracting.
- Ability to pass pre-hire background and drug tests.
- Ability to acquire and maintain government identification/common access card.
- Strong customer service skills.
- Ability to deal with a variety of people in a professional, courteous manner in diversified situations.
- Ability to obtain and maintain access to U.S. Government Installations through the Defense Biometric
- Identification System (DBIDS)/Common Access Card (CAC).
- Ability to successfully pass any background checks and/or drug testing required on the contract.
- Valid Driver’s License with acceptable driving record pertinent to the position.
- U.S. Citizenship.
