Job Summary

The Workers'' Compensation & Leave Specialist at Hollywood Feed interprets workers'' compensation and leave program policies in accordance with the applicable federal and state employment laws such as the Family Medical Leave Act, Americans with Disabilities Act, Pregnancy Discrimination Act, etc. Assists with all workers'' compensation, leave of absence and accommodation cases and claims to include general administration, comprehensive case management and program compliance with workers'' comp, FMLA and all related employment laws.

The Workers'' Compensation & Leave Specialist provides guidance to all Hollywood Feed employees on all forms of work place injury, leave of absence cases and accommodation requests. The Workers' Compensation & Leave Specialist manages workers' compensation cases from initial injury reporting through claim resolution and return to work. Assists with all aspects of leave and accommodations, including light duty assignments and temporary assignments. Organizes all medical information and ensures that The Health Insurance Portability and Accountability Act (HIPAA) and Employee Privacy guidelines are closely monitored and effectively executed. Tracks employee hours regarding leave and coordinates all aspects of employees return to work. The Workers'' Compensation & Leave Specialist serves as a trusted resource for associates, provides guidance on HR processes, and helps ensure consistent, fair, and compliant practices across the organization, all while embodying Hollywood Feed's commitment to care, integrity, and teamwork.

Key Responsibilities

• Workers' Compensation Case Management: Manage workers' compensation cases from initial injury reporting through resolution, coordinating with employees, managers, claims administrators, medical providers, and other stakeholders to facilitate timely treatment, monitor claim status, coordinate work restrictions and return-to-work plans, and maintain accurate documentation throughout the process.
• End-to-End Leave Administration: Serve as the primary point of contact for employees, managers, and HR partners throughout the full leave lifecycle, including intake, documentation, status updates, return-to-work coordination, and accommodation needs.
• Regulatory Compliance: Maintain working knowledge of FMLA, ADA, USERRA, workers' compensation, and applicable state-specific leave laws. Ensure compliance with statutory timelines, notice requirements, documentation standards, and confidentiality guidelines.
• Interactive Process & ADA Accommodations: Facilitate the ADA interactive process for employees requesting workplace accommodations or leave extensions. Partner with HR Business Partner, Compensation and Benefits, Legal, and managers to evaluate requests, coordinate documentation, draft correspondence, and determine appropriate accommodations.
• Claims Management: Partner with third-party administrators, disability carriers, and state agencies to coordinate leave and disability claims, track approvals and denials, resolve documentation issues, and ensure timely communication throughout the process.
• Payroll & Benefits Coordination: Collaborate with Payroll and Benefits to ensure accurate pay and benefits administration during leaves of absence, including STD, LTD, state benefits, PTO utilization, and benefit premium payments for employees on unpaid leave.
• Documentation: Drafts and revises HR documentation related to time and attendance, performance issues, disciplinary actions, and both voluntary and involuntary terminations.
• Employee Support: Provides employees with guidance to address questions, resolve issues, and express concerns.

Requirements & Qualifications

• Strong employee relations experience.
• Must be able to communicate, interpret and make sound judgements based on policies and

• Experience supporting hourly/nonexempt teams required.
• Ability to adapt in fast-growing environment.
• Knowledge of Human Resource disciplines, US employment laws.

Physical Demands and Work Environment

• Able to sit or stand at a desk and work on a computer for extended periods.
• Physically able to perform the job functions for 8-10-hour workdays.
• Employees may be required to lift items weighing up to 50 lbs. unassisted, along with bending, kneeling, twisting, reaching, and other physical movements essential to daily tasks.

Education & Experience

• Must be at least 18 years of age or older.
• High School Diploma or GED required.
• 5+ years of Workers'' Compensation, Leave Management or HR Generalist work experience.
