PRIMARY PURPOSE:
Under minimal supervision, implement the district's workers' compensation program according to established
policy, rules, and regulations. Process and provide timely notification and communication with employees,
supervisors, and insurance carriers regarding workers' compensation claims. Provide cross-functional support to
the Payroll Department as needed to assist with payroll processing, reconciliations, employee records, and other
payroll-related functions.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Knowledge of Texas workers' compensation statue and applicable laws.
Effective communication and interpersonal skills.
Strong organization and analytical skills.
Intermediate computer skills in Microsoft Word and Excel with the ability to develop spreadsheets.
Ability to work independently and meet established deadlines.
Ability to perform detailed mathematical calculations and maintain accurate records.
Knowledge of payroll processes, deductions, and employee records preferred.
Ability to maintain confidentiality of employee, payroll, and benefits information.
Experience:
Two years workers' compensation claims administration experience, preferred
Payroll, benefits, accounting, or related administrative experience preferred
MAJOR RESPONSIBILITIES AND DUTIES:
Workers' Compensation Administration
- Receive and process accident reports and workers' compensation claims. File all insurance forms and Texas
Department of Insurance, Workers' Compensation Division (DWC) reports, including wage statements, first
report of injury and supplemental reports in a timely manner.

- Establish and maintain contact with injured employees and provide assistance with claims and obtaining
health care as appropriate.
- Communicate with workers' compensation insurance carrier, physicians, /nurses, campuses personnel and
attorney to enable appropriate processing of claims.
- Coordinate with Employee Benefits Specialist and HR Leave Clerk to ensure appropriate use and access to
eligible leave an insurance benefits.
- Assist Risk Manager to prepare for BRC/CCH hearings and safety trainings.
Records, Reports, and Correspondence
- Prepare Bona Fide Modified Duty letters, and other correspondence, as needed.
- Route TIBS reports to payroll department, weekly.
- Run claims data reports for Risk Manager, monthly.
- Prepare/update open claims and lost time claims spreadsheets, weekly.
Payroll Support
- Cross-train on designated payroll functions to provide backup assistance to the Payroll Department during
peak processing periods, staff absences, or other times of operational need.
- Assist with reviewing and entering payroll-related information, including employee deductions, adjustments,
supplemental pay, and other payroll transactions, as assigned.
- Assist with reviewing payroll reports and supporting documentation for accuracy and completeness and
communicate discrepancies to appropriate payroll staff.
- Assist with payroll reconciliations, research, and resolution of payroll discrepancies as directed.
- Assist with maintaining payroll records and documentation in accordance with district procedures and
applicable record-retention requirements.
- Assist with responding to routine employee payroll inquiries and route complex payroll matters to
appropriate Payroll Department staff.
- Provide additional support during critical payroll processing periods to help ensure established payroll
deadlines are met.
Other
- Maintain confidentiality of information.
- Cross-train to provide assistance to Employee Benefits Specialist.
- Assist with annual employee benefit open enrollment process.
- Process annuity deductions and refunds.
- Other duties as assigned.
