    The Administrative and Operations Assistant provides administrative support to the Western Indiana Workforce Development Board. Primary responsibilities include assisting with accounts payable documentation, obtaining and organizing vendor bids and quotes, tracking purchases and invoices, maintaining records, preparing meeting materials, and supporting other routine office operations. This position requires strong organizational skills, attention to detail, professionalism, and the ability to handle financial and organizational information confidentially.

    Job Duties

    Essential Duties and Responsibilities

    This position takes place at 900 Wabash Ave #203, Terre Haute, IN 47807 except for outside events and includes the following duties:

    • Assist with accounts payable processes, including organizing invoices, verifying supporting documentation, and preparing payments for review and approval.
    • Contact vendors to obtain bids and quotes for marketing materials, promotional items, printing, supplies, and other purchases.
    • Compile and compare vendor bids and prepare information for staff review.
    • Track purchases, orders, invoices, payments, and delivery dates.
    • Maintain organized electronic and paper records for vendors, purchases, contracts, and administrative activities.
    • Prepare meeting packets, correspondence, spreadsheets, reports, and other materials.
    • Assist with scheduling meetings, taking notes, and tracking follow-up items.
    • Support marketing, outreach, events, and special projects as assigned.
    • Communicate professionally with vendors, partners, board members, and staff.
    • Provide general administrative and operational support based on the organization's needs.
