Position Summary Information

Job Description Summary

Under the direction of the Director - Corporate Services, the Workforce Grants Specialist performs a wide range of key functions necessary to workforce specific grant development, grant award execution and management, monitoring, and post-grant evaluation.

The Specialist will support the Dean, Directors, and Program Managers to obtain supporting data for grant proposals, analyze data, prepare reports, monitor performance, provide internal audits and recommendations, liaise with clients, and oversee the grant deliverables for assigned grant projects.

The Specialist will oversee the Coordinator and/or administrative support staff grant activities to ensure compliance and timely completion of deliverables. Serve as a point of contact for grant-related inquiries, providing assistance and information to internal and external stakeholders.

Minimum Qualifications

Associate's degree AND three (3) years related experience.

  • OR-

Five (5) years related experience.

Ability to adapt with ambiguity and constant change in fast growing business.

Skilled in client interaction.

Proficient in MS Office Excel/Word/PowerPoint.

Working knowledge of other programs including but not limited to: Adobe Acrobat, Office 365, Teams, and SharePoint.

Strong written and verbal communication skills.

Organizational and time management skills.

Strong Customer Service skills.

Ability to prioritize and meet deadlines.

Ability to assimilate data, analyze/report information to support decision making.

Strong attention to detail.

Preferred Qualifications

Advanced Excel skills.

Experience with workforce development grants.

Knowledgeable of Datatel/Colleague.

Experience with Texas Workforce Commission systems.

Experience in Higher Education.

Assists the Dean, Directors, and Program Managers with workforce and apprenticeship grant applications and RFA's.

Prepare, route, and disseminate contracts and proposals on behalf of the Dean, Directors and Program Managers following College procedures.

Serve as a point of contact for grant-related inquiries, providing assistance and information to internal and external stakeholders.

Job Duty

Oversee Coordinator and support staff grant activities and tasks to ensure compliance and timely completion of deliverables.

Perform coordination tasks as needed.

Job Duty

Provide weekly and monthly interactions with internal and external grant clients to review performance and account balances.

Prepare and submit monthly and quarterly reports for assigned grant projects in compliance with funding agency requirements (Including TIF, MPR, QPR, and other reports).

Perform accurate and timely data entry into the state reporting system and maintain supporting documentation.

Job Duty

Prepare monthly performance reports, revenue reports, and statements for internal and external clients, the Dean, Directors, and Program Managers.

Attend monthly-quarterly meetings and/or webinars with TWC for program updates.

Coordinate with Director, Team and TWC to ensure all deliverables are met in a timely manner.

Maintain records, files and client interactions within SharePoint and audit binders for compliance and audit readiness.

Job Duty

Update contract files regularly and perform monthly audit checks ensuring compliance for all assigned grant funded projects within the Corporate Services department.

Perform monthly-quarterly audit checks per grant contracts regarding participant eligibility and allowed-disallowed costs to ensure compliance and timely completion of deliverables (including site visits and attendance checks, etc.)

Job Duty

Procure equipment and supplies as required by grant funded projects following the College's policy.

This includes gathering quotes, working with purchasing department, liaising with DMC staff regarding logistics for delivery, installation and maintenance, ensure equipment is tagged as inventory, and any other activities associated with the procurement process.

Job Duty

Prepare, review and process invoices and reimbursement claims for Directors and/or Dean signature.

Maintain and update invoice tracker on a weekly and monthly basis, ensuring timely processing and accurate documentation of all invoices received.

Prepare, update and maintain account balance statements on a weekly-monthly basis. Distribute statements monthly or as requested.

Route contracts for signatures and oversee management of files (electronic and physical).

Assist with all other grant related duties as assigned.
